setup, invoice processing, and payment coordination\nAct as primary point of contact for shared services (COE) across A/P, vendor management, P2P, and tax support\nEnsure consistent execution of business rules, coding logic, and approval workflows\nPerform structured quality assurance over COE outputs\nContract Execution & Vendor Onboarding Controls\nOwn and implement contract intake and approval workflow to ensure Finance and Legal visibility prior to execution\nEstablish and enforce mandatory routing of all contracts through DocuSign (or equivalent) with required approvers\nEnsure contractual commitments are not executed without appropriate authorization thresholds and review\nDesign and enforce vendor setup gatekeeping controls, including:Approved onboarding documentation\nExecuted agreements\nEvidence of Finance and Legal review\n\nEnforce PO-before-service policy, ensuring:No services begin without an approved PO\nPO requests reference approved contract routing where applicable\n\nIdentify and manage off-process activity, including:Contracts executed without proper review\nRetroactive PO requests\nVendor onboarding tied to past-due invoices\n\nLead exception resolution and remediation, partnering with business stakeholders to correct process breakdowns\nLease Operational Coordination (Non-PO Spend Governance)\nEstablish and enforce a standard intake process for all MDF leases\nEnsure every lease request is routed to the right stakeholders (finance, legal, facilities)\nAct as the operational coordinator for lease renewals across the organization\nEnsure all lease payments are supported by executed agreements\nCoordinates across:Accounting (lease classification, schedules, journals)\nBusiness / Facilities (usage, renewals, terminations)\nSuppliers (billing accuracy, timing)\n\nOversees invoice validation against lease terms:\nPayment amounts\nBilling frequency\nContractual obligations\nIdentifies and escalates: Missing or incomplete lease documentation\nInvoices not aligned to contractual terms\n\nControls, Compliance & Risk Management\nDesign and enforce preventive controls across P2P and upstream commitment processes\nEnsure compliance with internal policies, SOX requirements, and financial reporting standards\nIn support of proper expense recognition, ensure timely visibility into contractual commitments\nPartner with Tax and COE to ensure appropriate handling of sales and use tax obligations\nProcess Improvement & Systems Ownership\nOwn and continuously improve procurement and P2P systems (e.g., CWPay, Zycus, ERP workflows)\nStandardize and document business rules, workflows, and approval matrices\nIdentify inefficiencies and implement scalable process improvements\nDrive automation and reduce manual intervention where possible\nReporting, Visibility & Continuous Monitoring\nDevelop reporting to track:Off-process contracts\nVendor setup exceptions\nPO compliance\nInvoice and
