Description: Facilities Coordinator.
Summary We are looking for a detail-oriented Facilities Coordinator to support maintenance planning, CMMS administration, technical reporting, and vendor coordination across a mission-critical data center environment. This role is responsible for helping ensure maintenance activities, records, schedules, and reporting are accurate, timely, and aligned with client SLAs, KPIs, safety requirements, and approved site procedures.
Support delivery of Maintenance Services to client SLA and KPI requirements through accurate planning, coordination, tracking, and reporting of maintenance activities. Create and maintain preventive maintenance schedules, corrective maintenance work orders, system updates, standard reports, and completed work activity tickets in the client's CMMS. Coordinate with the Plant Supervisor, Plant Operators, senior technicians, and third-party vendors to support facility systems maintenance, repairs, inspections, and related work activities. Generate reports covering services performed, maintenance completed, open actions, overdue work orders, vendor activities, and other maintenance-related updates required by the client or site leadership. Maintain strong data governance of asset, maintenance, inspection, and work order records within the CMMS, ensuring information is complete, accurate, and timely. Support maintenance planning by tracking workload, PM compliance, corrective work orders, parts requirements, vendor attendance, activity status, and follow-up actions. Assist with parts purchasing, invoice support, and maintenance-related administrative coordination in line with client and Cushman & Wakefield processes. Compile and maintain maintenance analysis records, including equipment monitoring data, recurring alarms, operating trends, benchmarking information, and other facility operations data. Support the development and continual improvement of Maintenance Program documentation, including procedures for work requests, incident reports, notifications, workload tracking, emergency response, life safety compliance, and disaster avoidance planning. Ensure planning, reporting, documentation, and coordination activities are performed in compliance with client policies, safety requirements, electrical safety program requirements, environmental expectations, and applicable regulations. Communicate clearly with the Plant Supervisor, site team, vendors, and client representatives on maintenance schedules, changes, constraints, risks, SLA status, documentation gaps, and required follow-up actions. Oversee and escort third-party vendor teams delivering soft services, including janitorial, pest control, landscaping, and waste management services. About You: 6+ years of relevant experience in maintenance planning, facilities coordination, engineering administration, CMMS administration, or mission-critical facility operations. Experience supporting maintenance planning, work order management, vendor coordination, or operational reporting in a Tier III or equivalent data center or mission-critical facility is preferred. Strong CMMS administration skills, including maintenance scheduling, work order creation, activity updates, ticket closure, and standard report generation. Good understanding of facility mechanical and electrical infrastructure, preventive and corrective maintenance processes, and mission-critical operational requirements. Strong planning, coordination, documentation, and follow-up skills across internal operations teams, client stakeholders, and third-party vendors. Ability to compile and interpret maintenance records, system data, workload status, inspection findings, and operational trends for reporting and analysis. Good communication and stakeholder management skills, with the ability to produce clear reports, meeting updates, and maintenance records. Strong attention to detail and safety awareness, including adherence to client procedures, electrical safety requirements, document control, and data governance standards. Ability to coordinate with vendor stakeholders and ensure they understand onsite procedures and deliver to a high standard. Relevant diploma, technical, vocational, or degree qualification in Engineering, Building Services, Facilities Management, Business Administration, or a related discipline. Industry-recognized data center training or certification such as CDCP would be an advantage. Proficiency in CMMS and Microsoft Office reporting tools, with familiarity in BMS/PMS outputs, maintenance dashboards, BI/reporting tools, purchasing and invoice support, and document control processes. INCO: "Cushman & Wakefield".
