The role plays a key part in maintaining healthy cash flow, building positive relationships with customers, and ensuring the accuracy and integrity of financial records.\nWorking closely with Finance, Commercial and Operational teams, the Accounts Receivable Administrator will manage invoicing activities, monitor outstanding debts, resolve customer queries and support month-end reporting activities.\nResponsibilities: \nSales Ledger Administration\nGenerate and issue accurate customer invoices in accordance with contractual terms and company processes.\nProcess credit notes and invoice adjustments as required.\nMaintain customer account records and ensure all data is accurate and up to date.\nVerify supporting documentation before invoices are issued.\nCredit Control & Collections\nMonitor outstanding balances and proactively follow up overdue invoices.\nContact customers by phone, email and other communication channels to secure payment.\nBuild and maintain positive customer relationships whilst managing debt recovery professionally.\nEscalate high-risk or long-outstanding debts to management where necessary.\nSupport the resolution of billing disputes and payment queries.\nCash Allocation & Reconciliations\nAllocate incoming payments accurately against customer accounts.\nInvestigate and resolve unallocated cash and account discrepancies.\nPerform regular customer account reconciliations.\nSupport balance sheet reconciliations related to accounts receivable.\nFinancial Reporting & Administration\nProduce aged debt reports and other receivables reporting as required.\nAssist with month-end and year-end finance processes.\nMaintain accurate records and documentation for audit purposes.\nSupport internal and external audit requests relating to accounts receivable transactions.\nProcess Improvement & Compliance\nAdhere to company financial controls, policies and procedures.\nIdentify opportunities to improve billing, collection and receivables processes.\nEnsure compliance with relevant accounting standards, financial regulations and GDPR requirements.\nAssist in the development and maintenance of finance procedures and process documentation.\nStakeholder Management\nWork collaboratively with Sales, Project Delivery and Customer Success teams to resolve invoicing issues.\nCommunicate effectively with customers regarding billing and payment matters.\nProvide excellent customer service while maintaining appropriate financial controls.\nAs well as, other duties as assigned.\nSkills, Experience & Qualifications:\n\nEssential\nPrevious experience in an Accounts Receivable, Credit Control, Finance Assistant or similar finance role.\nExperience using accounting or ERP systems.\nStrong understanding of invoicing, credit control and cash allocation processes.\nProficient in Microsoft Excel and the Microsoft Office Suite.\nExcellent numerical accuracy and attention to detail.\nStrong written and verbal communication skills.\nAbility to prioritise workload and meet deadlines.\nExperience managing customer queries professionally and effectively.\nDesirable\nAAT qualification (or equivalent) or working towards AAT.\nExperience within a project-based, engineering, technology or professional services environment.\nKnowledge of VAT requirements for UK and Europe invoicing regulations.\nExperience working with multi-currency transactions.\nAdditional Requirements:\nEligibility to live and work in the UK with high fluency in English. \nThe role requires to attend the Ratho office a minimum of once per week, with Wednesdays designated as the core office day.\nThe successful candidate will be required to complete a criminal background check and reference check during the onboarding process.\nCompany Benefits: \nCompetitive salary \nHybrid working\nDiscretionary Annual Performance Bonus \n30 days annual leave (including bank holidays)\nSalary Exchange Pension scheme \nLife insurance, Digital GP & Employee Assistance Programme \nCourseCloud free access to focus on your development\nFree onsite Gym membership and discounted climbing rates\nCycle to Work scheme\nElectric Car Salary Sacrifice Scheme \nMonthly adventure draw \nPet friendly office\nEmployee Referral Scheme\nQuarterly team building activities \nCyberhawk is an equal opportunity employer that values equality, diversity, and an inclusive work environment.
