This role works closely with Project Managers, field operations, subcontractors, vendors, customers, and internal departments to ensure projects are executed efficiently, accurately, and in accordance with company standards.\nThe Project Coordinator serves as a central communication hub across all project stakeholders, ensuring project information is organized, schedules are maintained, financial processes are completed, and project documentation is properly managed throughout the project lifecycle.\nLocation: Tampa, FL. This is an in-office role.\nMinimum requirements\nBachelor’s degree: additional work experience may be considered in lieu of bachelor’s degree.\n3+ years of related work experience ideally in Mechanical, Electrical, Plumbing service field or comparable industry.\nProficiency in the MS Office Suite (Outlook, PowerPoint, Excel, etc.).\nStrong organization, problem-solving, and customer service skills.\nDemonstrated ability to take initiative and solve complex problems.\nExceptional communication and interpersonal skills.\nKey Responsibilities \nProject Setup & Job Initialization\nCreate and establish new project records.\nUpload, organize, and maintain project documentation in company systems.\nIssue subcontractor agreements and purchase orders.\nCoordinate permit applications, Notices of Commencement (NOC), and project startup requirements.\nSupport project execution planning and readiness activities.\n\nProject Coordination & Communication\nCoordinate communication between Project Managers, customers, subcontractors, vendors, service teams, and internal departments.\nSchedule progress meetings, inspections, and project milestones.\nAttend and document weekly project progress meetings.\nCommunicate punch list requirements and track completion activities.\nProvide regular project status updates and ensure timely follow-up on action items.\nFacilitate collaboration among stakeholders to proactively resolve project issues and support successful project delivery.\nScheduling & Execution Support\nCoordinate mechanical inspections and project-related scheduling activities.\nTrack project milestones and critical deadlines.\nAssist in staging projects for field execution and resource readiness.\nMonitor project activities to ensure alignment with schedules and customer expectations.\n Procurement & Logistics\nCoordinate procurement of HVAC equipment and project materials.\nMonitor equipment and material delivery status and communicate updates to project teams.\nTrack supplier commitments and support project logistics planning.\nEnsure orders are processed accurately and delivered according to project requirements.\n Financial Administration\nProcess vendor invoices and maintain accurate project cost records.\nEnter and update project expenses and service vouchers within systems.\nAdminister customer and vendor change orders.\nPrepare progress billings, advanced billings, and AIA billing documentation.\nVerify vendor payments and collect lien waivers from subcontractors and suppliers.\nPrepare and distribute customer invoices and supporting documentation.\nManage billing and forecasting activities.\nSupport accounts payable and accounts receivable processes.\nMonitor project revenue, forecasting, and financial performance.\n\nDocumentation & Compliance Management\nMaintain complete and accurate project records throughout the project lifecycle.\nUpload serial numbers, startup documents, commissioning records, warranties, and closeout documentation.\nPrepare audit packages and compliance documentation.\nRegister equipment and maintain warranty records.\nCreate and manage warranty start and end dates within systems.\nMaintain vendor records, Certificates of Insurance (COIs), and new vendor setup documentation.\nEnsure compliance with company policies, customer requirements, and contractual obligations.\n Davis-Bacon & Certified Payroll Administration\nCoordinate customer communications regarding Davis-Bacon requirements.\nCollect and maintain certified payroll documentation.\nPrepare, review, and submit certified payroll reports and supporting documentation.\nEnsure compliance with federal, state, and customer-certified payroll requirements.\n Reporting & Project Performance Monitoring\nGenerate and distribute weekly progress reports.\nMaintain service status workbooks and project tracking reports.\nMonitor job costs, margins, revenue forecasts, and trailing costs throughout project execution.\nSupport project forecasting and operational decision-making with accurate reporting.\n Project Closeout & Service Turnover\nReconcile and audit project costs prior to project closure.\nPrepare customer closeout packages.\nCoordinate project turnover to service teams, including warranty documentation, submittals, as-built drawings, certified drawings, and service alerts.\n\nBenefits: Daikin Applied offers the following benefits for this position, subject to applicable eligibility requirements:\nMultiple medical insurance plan options + dental and vision insurance.\n401K retirement plan with employer contributions matching 100% of the first 3% of employee contributions and 50% on the next 2% of employee contributions.\nCompany provided life insurance + optional employee paid voluntary life insurance, dependent life coverage and voluntary accident coverage.\nShort term and long-term disability.\n88 hours company paid holidays.\n120 hours of paid time off for new employees.
