This position coordinates assigned housing operations processes and serves as a key resource for students, families, faculty, and staff regarding housing-related questions and services. The Coordinator plays a critical role in supporting housing assignments, occupancy processes, room changes, summer housing, billing coordination, hall access, asset inventory, and housing system administration. The position is responsible for maintaining accurate housing data, coordinating assigned functional areas, and ensuring processes are carried out efficiently, consistently, and in accordance with established policies and procedures.\nThe Coordinator works closely with the Assistant Director of Housing Operations and other RLO staff and campus partners to support the successful delivery of housing services and a positive residential experience for students.\nEssential Responsibilities Housing Operations & Assignments\nCoordinate assigned housing processes, including housing assignments, room changes, cancellations, and occupancy updates.\nManage housing processes for first-year students, transfer students, study abroad returnees, mid-year transitions, and other assigned populations.\nCoordinate Summer Housing processes, including intern housing and special guest housing.\nManage waitlists, off-campus permission processes, early arrivals, late stays, and other assigned special housing requests.\nMaintain accurate housing records and communicate housing decisions, deadlines, and requirements to students and campus partners.\nAssist with the implementation of housing timelines and operational procedures established by the Residence Life Office.\nSystems & Data Management\nServe as a functional user of the housing management system (e.g., StarRez), supporting assignments, forms, workflows, reports, and routine system functions.\nMaintain accurate student housing records and complete routine data audits and spot checks.\nProcess housing charges and credits and coordinate with the Controller’s Office to support accurate student billing.\nIdentify data or system discrepancies and work with the Assistant Director and appropriate campus partners to resolve issues.\nAssist with maintaining and improving housing processes and workflows within StarRez to support operational efficiency and the user experience.\nMove-In, Move-Out & Housing Transitions\nCoordinate assigned responsibilities for fall, spring, and summer move-in and move-out operations.\nSupport check-in and check-out processes and related housing communications.\nCoordinate early arrival and late stay processes in collaboration with Residence Life staff and campus partners.\nAssist with mid-year housing transitions and other temporary housing needs.\nSupport the implementation of operational improvements, including self-check-in processes and updated clearance procedures.\nCustomer Service & Student Support\nRespond to housing-related inquiries from students, families, faculty, and staff.\nProvide timely, accurate, and professional guidance regarding housing policies, procedures, timelines, and requirements.\nAddress routine housing concerns with professionalism, empathy, and consistency.\nEscalate complex or sensitive concerns to the Assistant Director or appropriate RLO leadership.\nMaintain a student-centered approach when communicating housing information and resolving concerns.\nFacilities & Building Access\nCoordinate the RLO hall key process, including key distribution, collection, tracking, and related records.\nMaintain and support an efficient key management system.\nCoordinate with the CatCard Office to support student and staff hall access.\nMaintain accurate records related to building access and housing-related assets.\nMaintain and update asset inventory for assigned housing areas.\nReport access, key, furniture, or other facilities-related concerns to the appropriate RLO staff or campus partner.\nAssist with housing facilities projects and operational needs as assigned.\nCollaboration, Documentation & Office Support\nProvide training and guidance to professional and student staff regarding assigned housing operations processes.\nAssist with developing, updating, and maintaining housing operations documentation, procedures, timelines, and training materials.\nParticipate in departmental meetings, planning efforts, and campus committees as assigned.\nCollaborate with campus partners to support the effective implementation of housing operations processes.\nMaintain confidentiality and appropriately handle student and institutional information.\nProvide cross-training and operational support within the Housing Operations team during peak periods.\nRequired Qualifications\nBachelor’s degree required.\nExperience in housing operations, residence life, student services, or higher education administration.\nExperience with StarRez or other housing management software.\nAbility to work collaboratively with students, colleagues, and campus partners.\nExperience with key/access management or residential facilities operations.\nPreferred Qualifications\nKnowledge of student billing, occupancy management, and housing assignments. \nExperience developing or maintaining operational procedures and documentation.\nInformation about how to
