Key Responsibilities
Coordinate and maintain project documentation, including meeting minutes, reports, schedules, and action items.
Work with GC/ PMC/Contractors and lead the project close out documents, training material and etc.
Assist in budget tracking, invoice processing, and procurement requests for project-related activities.
Support project planning and scheduling by updating timelines and calendars.
Ensure document control procedures are followed in compliance with internal policies.
Manage project filing systems (digital and hard copy) and ensure version control of all project documents.
Prepare presentations, status reports, and ad hoc project summaries for internal or client use.
Liaise with vendors, contractors, and internal departments for project updates and support needs.
Monitor project compliance with safety, regulatory, and contractual standards.
Assist with onboarding of subcontractors or vendors by preparing documentation, forms, and credential verification.
Organize and schedule project meetings, and coordinate logistics when needed.
Requirements
Diploma or Bachelor’s Degree in Business Administration, Project Management, or related field.
At least 5-8 years of administrative experience, preferably in construction, data center, or engineering environments.
Proficient in MS Office Suite (especially Excel, Word, and PowerPoint); experience with MS Project or project tracking tools is a plus.
Strong organizational and multitasking skills with attention to detail.
Excellent written and verbal communication skills.
Ability to work independently and as part of a fast-paced project team.
