This role is heavily focused on high-volume interview scheduling, administrative coordination, and candidate communications - making sure everything runs smoothly behind the scenes.\nYou’ll partner closely with recruiters, hiring managers, and candidates to coordinate logistics, keep our systems up to date, and help create a great candidate experience. If you enjoy fast-paced work, love staying organized, and take pride in keeping complex scheduling and admin processes on track, this role is for you.\nKey Responsibilities\nInterview Scheduling & Coordination (Main Focus)\nSchedule a high volume of interviews across recruiters, hiring managers, teams, and time zones.\n\nManage complex calendars quickly and accurately.\n\nAct as the main point of contact for candidates throughout the interview process.\n\nFollow up proactively to confirm availability, align interview panels, and keep things moving.\n\nJump in quickly when schedules change and keep everyone informed.\n\nKeep candidate records up to date in our ATS (Ashby).\n\nSend interview confirmations, agendas, and any materials candidates need to feel prepared.\n\nSystems & Operational Support\nOpen and help manage job-specific Slack channels to keep everyone aligned.\n\nTrack interviewer participation in shadow and reverse-shadow programs.\n\nSupport clean data entry and documentation to keep reporting accurate.\n\nQualifications\n1-2 years of experience in recruiting coordination, HR coordination, or a similar administrative role.\n\nDemonstrated experience managing high-volume scheduling in a fast-paced environment.\n\nStrong calendar management skills across multiple stakeholders and time zones.\n\nHighly organized with exceptional attention to detail and follow-through.\n\nComfortable working in a remote-first environment.\n\nExcellent written and verbal communication skills.\n\nDiscreet and professional when handling confidential information.\n\nProactive, service-oriented, and solutions-focused mindset.\n\nExperience with applicant tracking systems (Ashby preferred).\n\nProficiency in Zoom, Slack, Google Workspace, and other remote collaboration
