Based in LA, we are a revenue-backed, fast-growing company entering our next phase of growth.\nTHE ROLE\nWe are hiring an Operations Coordinator to support the Head of Operations. This is a full-time, entry-level role for someone who wants to learn how a hardware company runs, from the factory to the customer.\nReporting directly to the Head of Operations, you will act as their right hand on operations: keeping inventory, suppliers, shipments, and reporting on track, and making sure commitments made get done.\nWHAT YOU WILL DO\nCoordinate with customer support, sales, procurement and the warehouse to support the custom product order process from order confirmation to delivery.\n\nSupport weekly Amazon FBA replenishment: build the order, confirm inventory quantities, and review with Head of Operations for approval of shipping carton labels.\n\nAssist the Head of Sales by tracking action items from meetings, and follow up directly with owners on status and deadlines until each one is closed\n\nTrack product development status, collect prototype and production quotes, sample shipments, follow up on action items and keep the product development tracker current.\n\nCoordinate monthly sales and operations planning (S&OP) readiness across departments and schedule meetings accordingly.\n\nWrite and maintain SOPs for recurring operations workflows and flag any workflow that has not been written down yet.\n\nCoordinate in-house sample production, prioritize production schedule maintain inventory levels and document most effective customization parameters.\n\nMaintain one running list of open items with owner and due date and flag anything overdue or at risk.\n\nCheck vendor invoices and forward them to accounts payable and receipts to our expense system\n\nSet up new SKUs, bundles, and maintain item master data in our document control database.\n\nHandle office facilities requests, including cleaning and other vendors and landlord requests\n\nDraft decks, spreadsheets, and briefs for review\n\nOrder lab and office supplies and keep them stocked\n\nWHAT YOU WILL LEARN\nHow a hardware company runs operations end to end, working directly with the Head of Sales and Operations\n\nSupply chain and procurement with overseas manufacturers, from purchase order to delivered goods\n\n3PL fulfillment and inventory planning across Shopify, Amazon, and TikTok Shop\n\nHow operations reporting drives purchasing and planning decisions\nWHAT WE ARE LOOKING FOR\n\nRequired\n1 to 3 years of experience in an operations, logistics, coordinator, or executive assistant role, ideally in a fast-moving environment; also open to recent graduates and students in their final year of study with relevant internship or part-time experience\n\nInterest in supply chain, logistics, or manufacturing, through coursework, internships, or work experience\n\nStrong proficiency in Excel or Google Sheets: comfortable with formulas, pivot tables, and building trackers from scratch\n\nDetail-oriented and organized, comfortable juggling multiple trackers, deadlines, and follow-ups at once\n\nComfortable following up with people, including holding others accountable to deadlines they have committed to\n\nClear written communicator who can draft a professional email or message without heavy editing\n\nReliable, shows up, and follows through without needing reminders\n\nComfortable asking questions and flagging problems early rather than guessing\n\nAble to lift and pack boxes up to 25 lbs\n\nNice to have\nExperience with Shopify, Amazon Seller Central, or a 3PL or warehouse management portal\n\nCOMPENSATION & DETAILS\n$29.00 to $34.00/hour\n\nFull-time, entry level\n\nOnsite at dot.cards HQ in Culver City, CA\n\nStart date: as soon as we find the right person\n\nReports to: Head of Sales and Operations\n\nEqual Opportunity Employer: dot.cards is an equal opportunity employer.
