This role provides day-to-day support to the Creative Lead and broader marketing and communications team, helping move projects from concept through completion. The Design Production Coordinator focuses on project coordination, creative asset management, and administrative responsibilities, with an opportunity to provide hands-on design support. \nWorking closely with the Creative Lead, this role translates creative concepts into thoughtful, polished visual communications that reflect the Eames Institute’s mission, aesthetic, and brand standards. This is an opportunity for an early-career operations professional to further develop their design production skills while gaining broad experience across a wide range of creative projects and mediums. The ideal candidate is curious, detail-oriented, collaborative, visually minded, and highly organized, with the ability to track creative work with the operational details that bring designs to life.\nKey Responsibilities\nCreative Operations & Project Coordination\nSupport the Creative Lead in tracking projects, deadlines, priorities, and deliverables.\nMaintain project trackers, calendars, and status updates.\nCoordinate project information and follow up with internal teams to ensure materials and approvals are received on time.\nAssist with project intake, file routing, approvals, revisions, and final delivery.\nCoordinate with printers, vendors, photographers, illustrators, and other creative partners as needed.\nPrepare materials and documentation for creative meetings and reviews.\nHelp identify and communicate upcoming deadlines and project needs.\nSupport Creative Lead in developing and evolving processes both internally and with external stakeholders.\nAsset & Data Management\nOrganize and maintain digital creative assets, including images, artwork, templates, presentations, and final files.\nEnter and maintain project, asset, and other creative information in internal systems and databases.\nEnsure files and records are accurately labeled, organized, and up to date.\nAssist with image and asset metadata, tagging, and cataloging.\nHelp maintain shared folders, archives, templates, and other creative resources.\nSupport ongoing efforts to improve the organization and accessibility of the Creative team's assets.\nAdministrative Support\nProvide day-to-day administrative support to the Creative Lead, including scheduling meeting preparation and follow-up.\nAssist with organizing creative team meetings, presentations, and project reviews.\nTrack invoices, purchase orders, and other project-related administrative information as needed.\nAssist with gathering information and preparing reports, lists, and presentations.\nManage routine correspondence and follow-up related to creative projects.\nTake on special projects and other administrative responsibilities that support the effectiveness of the marketing and communications team.\nCreative & Design Support\nSupport the Creative Lead in developing and executing visual design materials across print, digital, social media, email, retail, event materials, and other organizational needs.\nAdapt and update existing creative concepts, templates, and brand assets for different applications and formats.\nCreate layouts, graphics, presentations, and other visual design collateral under the direction of the Creative Lead.\nAssist with the preparation of print- and production-ready files.\nSupport creative research, mood boards, image sourcing, and presentation development.\nHelp maintain consistency of the Eames Institute visual identity across communications and touchpoints.\nParticipate in creative reviews and incorporate feedback into design work.\nRequired skills, abilities, competencies\nExperience in creative operations and/or production management positions.\nStrong organizational skills and exceptional attention to detail.\nComfortable working with spreadsheets, databases, file management systems, and other administrative tools.\nAbility to manage multiple projects, tasks, and deadlines simultaneously.\nStrong written and verbal communication skills.\nAbility to take direction, receive feedback, and work collaboratively.\nProactive approach to identifying what needs to be done and following through.\nComfortable moving between creative, administrative, and operational tasks throughout the day.\nA plus if you have:\nAn interest in architecture, art, culture, publishing, and/or the legacy of Charles and Ray Eames.\nDemonstrated interest and ability in graphic design, with a portfolio or examples of design work including print and digital.\nA keen eye for layout, typography, color, and photography. \nProficiency in Adobe Creative Cloud, particularly InDesign, Illustrator, and Photoshop.\nFamiliarity with Figma and/or other digital design tools.\nEssential Functions:\nThe schedule for this role is 9:00am to 5:00pm, Monday through Friday. This position is expected to be primarily onsite at the Richmond Archives.
