This role partners closely with the leadership team to coordinate business activities, manage executive priorities, and facilitate effective communication across the organization. The Sr. Executive Assistant serves as a trusted business partner, exercising sound judgment, discretion, and professionalism while handling confidential information, managing competing priorities, and ensuring the efficient execution of leadership objectives and business initiatives.\nThe expected annual salary range for this role is $79,000 - $116,000 a year.\nPlease note the salary information shown above is a general guideline only. Salaries are based upon candidate skills, experience, and qualifications, as well as market and business considerations.\nEssential Responsibilities:\nProvide comprehensive executive administrative support to the Site HR Manager and ITD Operations Director, ensuring efficient management of daily operations and strategic priorities.\nMaintain the HR Manager & Director’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.\nManage and coordinate site leadership meetings, employee engagement events, leadership offsites, and executive visits.\nPrepare executive briefing materials, meeting agendas, and presentation content for leadership reviews and business updates.\nTrack action items, commitments, and follow-up activities arising from leadership meetings and operational reviews. \nExercise the highest level of discretion when handling sensitive employee, business, financial, and organizational information. \nBuild collaborative relationships across departments to facilitate effective communication, problem-solving, and execution of business priorities.\nSupport the HR Manager in coordinating onsite employee engagement activities, recognition programs, site events, leadership meetings, and employee communications.\nPartner with the Global Operations Director in planning and executing ITD Regional Leadership offsites, including agenda coordination, travel and lodging arrangements, meeting logistics, materials preparation, and onsite support.\nServe as a primary point of contact between leadership, employees, and external stakeholders, fostering effective communication and ensuring timely resolution of inquiries.\nCoordinate work with other staff as needed; play a key role in the coordination of staff efforts both within and outside the department.\nIndependently assess, prioritize, and manage requests, issues, and matters requiring leadership attention, redirecting or resolving items as appropriate.\nPrepare and edit correspondence, communications, presentations, and other documents\nFile and retrieve documents and reference materials, collate, and manage data\nConduct research, collect, and analyze data to prepare reports and documents\nAttend leadership meetings, capture key discussion points, action items, and decisions, and distribute meeting summaries to ensure accountability and follow-through.\nAnswer and manage incoming calls, monitor, screen, respond to and distribute incoming communications\nReceive and interact with incoming visitors and external guests\nCoordinate and support cross-functional projects, events, and initiatives, ensuring milestones, deliverables, and deadlines are effectively tracked and communicated.\nIdentify opportunities to improve administrative processes, workflows, and organizational effectiveness through continuous improvement initiatives.\nSort and triage mail; maintain e-mail and other address directories. \nPrepare, reconcile, and submit expense reports.\nMaintain paper and electronic filing systems.\nMaintain confidential and sensitive information.\nComplete a variety of special projects including creating PowerPoint presentations, special reports, and agenda material. \nBasic Qualifications:\nBachelors degree required.\nMinimum of 3 years of executive administrative experience supporting and partnering with C-suite executives and senior business leaders.\nExcellent written and verbal and communication skills.\nMust possess efficient organizational skills with a familiarity with office procedures.\nAdvanced level understanding of computer software and programs, including Microsoft Office, Excel, PowerPoint, etc.\nEaton will not consider applicants for employment immigration sponsorship or support for this position.
