Embedded within the client finance team, this role serves as the operational bridge between Client Finance and Financial Shared Services functions, with full accountability for ensuring financial data is accurate, complete, and processed quickly to meet real-time business demand. From project setup and contract data to billing and invoicing, the Coordinator drives transactions efficiently through internal and client systems with speed and discipline.\nThis is a hands-on, high-trust role for someone who thrives in a fast-paced environment and takes pride in getting things right the first time. Success comes from deep expertise in client-specific billing requirements, systems, and contracts-using that knowledge to remove friction, keep transactions moving, and support client service teams.\nThe role offers real independence once established and close connection to client-facing teams, with clear visibility into how accurate, timely execution enables the business to operate at pace. Growth is defined by increased ownership, complexity, and mastery of the work-becoming the go-to expert others rely on to move work forward quickly, consistently, and with confidence.\nKey Responsibilities\nProject Setup & Contract Execution\nOwn accurate and complete setup of projects in Workday and related systems, including scopes of work, change orders, purchase orders, rate cards, budgets, and billing structures.\nTranslate contractual terms into correct system configuration, ensuring alignment with client requirements and internal policies.\nValidate all inputs for completeness and accuracy prior to system entry; proactively resolve missing or inconsistent data with defined stakeholders.\nMaintain organized and audit-ready documentation of all contracts, amendments, and supporting materials.\nCoordinate intercompany set-up and service orders where applicable.\nBilling & Invoice Submission\nEnforce adherence to company billing policies, contractual requirements, and system processes without exception.\nOwn end-to-end billing execution, ensuring invoices are accurate, compliant, and submitted on time across all required client platforms.\nAssemble, validate, and manage all required supporting documentation (e.g., proof of execution, purchase order validation, expense back-up, etc.).\nDrive proforma workflow in Workday, ensuring timely approvals and adherence to billing deadlines.\nExecute credit/rebill activities accurately and on time when required.\nMaintain detailed billing trackers, including invoice status, approvals, submission dates, and issues.\nProactively identify risks to billing timelines and take corrective action, with escalation as required.\nFinancial Tracking & Controls\nManage billing against client budgets, purchase orders, and contractual limits to prevent over- or under-billing.\nReconcile data between Workday and client systems, investigating and resolving discrepancies.\nSupport project close activities by ensuring financial data is complete and reconciled.\nOperation Excellence & Communication\nAct as the primary operational contact for billing and transactional financial system matters\nCommunicate clearly and directly with project managers, client finance leads, and operational teams to obtain information needed to keep transactions moving and resolve issues.\nBuild effective working relationships with internal stakeholders and client operational/procurement contacts as needed to ensure smooth billing execution.\nQualifications & Experience\n1-3 in financial operations, billing, accounting, or similar data-driven roles.\nComfort working in financial and billing systems, with the ability to learn new tools quickly (e.g., Workday, Ariba, or similar platforms).\nBasic understanding of contracts, billing structures, and revenue-related processes.\nStrong attention to detail with the ability to handle high-volume, repeatable work accurately.\nAble to stay organized and keep work moving in a fast-paced environment with multiple deadlines.\nClear, practical communicator who can work effectively across finance, operations, and client\nWe are dedicated to building a diverse, inclusive, and authentic workplace, so if you’re excited about this role but your experience doesn’t perfectly align with every qualification, we encourage you to apply anyway.
