ABOUT THE ROLE
ROLE PURPOSE
The Procurement Associate role provides accurate and timely administrative assistance across the procurement function. The role manages purchase requisition and purchase order processing, maintains procurement records, coordinates document flow between buyers, suppliers, and finance, and ensures that all procurement transactions are properly documented, approved, and traceable. The role is a key enabler of procurement efficiency and audit readiness.
RESPONSIBILITIES
- Purchase Requisition & PO Processing: Receive, validate, and process purchase requisitions in SAP and Ariba when required. Check completeness and DoA compliance before routing for approval. Create and issue purchase orders once approvals are confirmed. Ensure all POs are acknowledged by suppliers within the required timeframe.
- Procurement Records & Document Management: Maintain accurate and complete procurement records including PRs, POs, quotations, bid evaluations, contracts, and supplier correspondence. Ensure all documents are filed in the correct system with version control and are retrievable for audit within defined SLAs.
- Supplier & Stakeholder Coordination: Act as the first point of contact for routine supplier queries on PO status, payment, and documentation. Coordinate document exchange between buyers, suppliers, finance, and logistics. Escalate non-routine issues to the relevant Buyer or Procurement Manager.
- Invoice & GR/IR Coordination: Support the matching of supplier invoices against purchase orders and goods receipt records in SAP. Flag discrepancies to the Buyer or Finance team and track resolution. Ensure GR/IR clearing items are addressed promptly to avoid aged open items.
- Reporting & KPI Traceability: Maintain structured daily, weekly, and monthly reporting on open POs, overdue deliveries, pending approvals, and GR/IR exceptions. Issue daily alerts on POs at risk of delay. Prepare weekly open order reports for the Procurement Manager. Compile monthly governance inputs with all figures traceable to SAP transaction records for full audit readiness.
