Together, we forge dynamic, long-term partnerships to develop innovative solutions that meet Europe's growing demand for raw materials.\nPosition\nRole Overview\nThe IT Service & Asset Manager (m/f/d) is responsible for ensuring the reliable, secure, and cost-effective delivery of IT services across the organisation through effective vendor management, IT asset governance, and software lifecycle oversight. Acting as the primary point of contact between the business and external IT service providers, the role ensures that services are delivered in line with business requirements, agreed service levels, and governance standards. As part of the IT Operations team, the IT Service & Asset Manager owns the lifecycle management, transparency, and optimisation of IT assets, software licenses, contracts, and vendor relationships, while coordinating and overseeing technical operations performed by external partners. The role plays a key part in maintaining operational efficiency, cost control, compliance, and a high-quality end-user IT experience.\nKey Responsibilities\nIT Service Ownership & Vendor Management\nOwn and manage relationships with external IT service providers.\n\nDefine service expectations, scope, and priorities in alignment with business needs.\n\nMonitor service delivery, performance, and adherence to agreed SLAs and KPIs.\n\nOversee the organization’s IT infrastructure landscape, including:\nCloud environments (servers and virtual machines)\n\nData backup and recovery systems\n\nNetwork architecture and connectivity across all office locations\n\nWebsite hosting and related services\n\nEnsure alignment of IT services and infrastructure with overall IT architecture and operational standards.\n\nWorkplace & Devices (End-User Environment)\nAct as the central coordination point for all IT-related requests and activities.\n\nOwn and manage the IT workplace ecosystem, ensuring a seamless end-user experience.\n\nManage the full IT asset lifecycle, including:\nProcurement\n\nDeployment and configuration\n\nMaintenance and replacement\n\nDecommissioning and disposal\n\nOversee end-user hardware, including laptops, mobile devices, and peripheral equipment.\n\nCoordinate device-related onboarding and offboarding processes for employees.\n\nEnsure standardization, cost efficiency, and user satisfaction across the workplace environment.\n\nOwn, maintain, and enforce the Acceptable Use Policy (AUP).\n\nIT Asset Register & Lifecycle Management\nOwn and maintain a centralized and accurate hardware and software asset register.\n\nEnsure transparency of:\nAsset inventory\n\nOwnership and allocation\n\nLifecycle status and associated costs\n\nEstablish and maintain standards for asset tracking, documentation, and governance.\n\nAlign asset data with financial tracking, procurement records, and operational usage.\n\nSoftware Procurement & License Management\nOwn and manage software procurement processes and policies.\n\nEnsure software acquisitions follow standardized workflows and approval processes.\n\nOversee software lifecycle and license management, including:\nLicense allocation and tracking\n\nUsage monitoring and optimization\n\nRenewal and termination management\n\nEnsure software usage remains aligned with internal governance and compliance requirements.\n\nContinuously review the software portfolio to identify cost optimization opportunities and eliminate redundant or unused licenses.\n\nCompliance Alignment in IT Operations\nEnsure IT assets, software, and infrastructure are operated in accordance with applicable governance frameworks and organizational policies.\n\nCoordinate required reviews related to data protection, cybersecurity, and IT security requirements.\n\nCollaborate closely with the Data Protection Officer (DPO) and Information Security Officer to ensure effective implementation of security and compliance requirements within IT operations.\n\nSupport audit readiness through accurate documentation and operational evidence, while not owning compliance control functions.\n\nIT Administration & Cost Control\nManage IT vendors, contracts, and service agreements throughout their lifecycle.\n\nDrive IT cost transparency and optimization, including:\nBudget planning and tracking\n\nIdentification of cost-saving opportunities\n\nEnsure efficient utilization of software licenses, IT assets, and infrastructure resources.\n\nProvide operational visibility and reporting on IT assets, services, vendors, and associated costs to support informed business decisions.\n\nYour profile\n· Strong experience in IT operations, IT service management, and vendor management, with a focus on coordinating and managing external service providers.\n· Proven track record in working with external IT partners or managed service providers, ensuring service quality, accountability, and alignment with business requirements.\n· Solid understanding of IT service landscapes, including workplace technologies (e.g. Microsoft 365), cloud services, and typical enterprise IT environments.\n· Ability to translate business needs into structured service requests and ensure effective follow-up and delivery by external providers.\n· Experience in managing IT assets, software licenses, and subscriptions, including lifecycle tracking, usage optimisation, and cost control.\n· Practical experience in IT budgeting and cost management, including tracking IT spend, understanding cost drivers, and identifying optimisation opportunities across services, licenses, and contracts.\n· Strong understanding of vendor and contract management, including service agreements, renewals, and performance monitoring.\n· Experience in establishing structured processes and ensuring transparency across IT services, assets, and vendors.\n· Ability to evaluate IT services and provider deliverables from a functional and business perspective, without requiring deep technical specialisation.\n· Experience in coordinating IT-related topics across multiple stakeholders, ensuring prioritisation, clarity, and timely resolution.\n· Working knowledge of data protection (GDPR) and information security principles, with the ability to ensure that IT services, tools, and vendors operate in alignment with these requirements.\n· Experience in maintaining clear, audit-ready documentation for IT assets, licenses, vendors, and service processes.\n· Strong focus on cost awareness and continuous optimisation of IT services, tools, and contracts.\n· Ability to create structured documentation and user guidance to support consistent and compliant use of IT services across the organisation.\n· Excellent communication skills, with the ability to act as a bridge between business stakeholders and external IT providers.\nOther information\nAdditional
