OBJECTIVES OF POSITION\n\nThe\nkey objectives of the Workshop Coordinator position are: \n\nTo\nplan and co-ordinate all operational activities at workshop level, to include\nmechanical, administrative and customer service level tasks, ensuring efficient\nand effective flow of processes and delivery of high quality of services in a\ntimely manner.\nTo promote the excellent image and\nreputation of the company through demonstration of outstanding product and\ntechnical knowledge and providing an outstanding customer service to all\nexternal and internal customers. \n\nCOMPETENCIES AND RELATED DUTIES AND RESPONSIBILITIES\n\nA description\nof the main competencies and related duties and responsibilities, however not\nexhaustive, is detailed below:\n\nWorkshop\nduties\n\nCo-ordinates\nall mechanical work at the Workshop in view of achieving optimal levels of\nproductivity, efficiency and effectiveness of the flow process.\nTakes\ndelivery of motorcycles from clients at arrival for servicing, accidents and\nrepairs. \nEnsures\nthat all information on the Check List is complete and correct, and that the\nclient’s requests are well-captured. \nCreates\nJobs on SAP and integrates them into the Workshop’s overall planning. \nProvides\ntechnical feedback and communicates expected job completion targets to clients.\nSchedules\nthe work assignments of mechanics on the floor and according to set priority\nstatus.\nPrepares\naccident quotations and forwards them to concerned parties in a timely manner. \nLiaises\nwith insurance company concerning approval for accident & repairs and keeps\nrecords of approvals.\nOversees\nthe status of all work in progress and coordinates all jobs to achieve optimal\nlevels of productivity and efficient and effective flow of process. \nProvides\nthe company’s internal and external customers with an excellent customer\nservice at all times. \nMaintains\nrecords and prepares required reports relevant to the operation of the\nworkshop.\nPreserves\na complete record of vehicles, repairs, parts usage, parts and gasoline\nproducts inventory at all times. \nContacts\nand follows up with suppliers and clients with regards to claims on damaged or\nunsatisfactory products or on any queries or complaints.\nCoordinates\nincoming work with existing workload.\nHelps\nestablish maintenance priorities. \nInspects\nrepair work performed.\nDemonstrates\nleadership and supervisory ability pertaining workshop operations.\nPerforms\nrelated clerical duties involving elementary accounting with the responsibility\nfor accurate maintenance of all stores operation records. \n\nSpare\nparts\n\nIs\nresponsible for the day-to-day functioning of the Spare Parts Store operations,\nincluding requisitioning, receiving, storing and distribution of stock.\nInspects\ngoods received for quantity and quality standards as per the already\nestablished procedures and within time frame.\nChecks\nregularly the inventory levels and prepares requisitions to replenish the\nstock.\nPerforms\nstock inventory and maintains all related records for inventory control and\nfuture estimates.\nEnsures\nthat the store is kept in clean and systematic settings.\nPerforms\ninter store transfers and transactions on SAP.\nChecks\nand approves invoices for payment and confirms receipt of vehicles and parts.\nDelivers\nSpare parts to mechanics and records transactions to ensure invoicing.\nRegularly\ncontacts spare parts resellers for replenishment of stock. \n\nGeneral\nAdministrative Duties\n\nConducts\nall administrative duties attached to the job. \nAssist\nat Reception Counter of respective Branch as and when required.\n\nReporting\n& Controlling\n\nUpdates\nthe Job in Progress Report on the designated systems and in a timely manner,\nensuring that contained information is current and accurate at all times. \nProvides\nregular updates to Branch Manager on work in progress.\nPrepares\nand submits reports to the Manager – Spare Parts as and when required.\nFlags\nany issues or actual / predicted deviations from plan at the earliest possible\npoint in time. \n\nTraining,\nLearning & Development \n\nParticipates in any Learning &\nDevelopment opportunities offered by the company. \n\nOther \n\nPerforms any other cognate duties as may\nbe assigned by Management.\nPerforms all duties strictly in line with the\ncompany’s policies and procedures, and on the designated
