Our construction and service (mechanical and electrical) experience includes a broad range of commercial and government projects, data centers, hospitals, sports stadiums, convention centers, hotels, and research laboratories.\nSummary\nThe Accounts Payable Associate be responsible for processing invoices and maintaining accounting records. The ideal candidate must compute, classify, and record numerical data to keep financial records complete. He or she will perform any combination of routine calculating, posting, and verifying duties to ensure vendors are paid accurately.\nEssential Duties & Responsibilities\nInclude the following. Other duties may be assigned.\nCompute, classify, record and verify numerical data for use in maintaining accounting records\nMatch vendor invoices and purchase orders, packing slips when applicable.\nScan copies of invoices with issues and route to appropriate party, follow-up in a couple of days to resolve open issues.\nReceive vendor invoices via e-mail, route to appropriate party, follow-up in a couple of days to resolve open issues.\nEnter invoices into accounting software and generate payment list for approval.\nTrack tax exempt certificates\nOrganize and maintain A/P records.\nHelp Controller with A/P accrual at month’s end.\nClose A/P cycle timely to help with monthly accounting closing.\nAssist with audits, both internal and external, by handling all accounts payable related requests.\nObtain vendor statements and reconcile open payables with their open receivable statement. \nSupport CFO and Controller in the finance and accounting activities of the Company and escalate critical and/or sensitive issues to Senior Leadership with recommendation for resolution.\nQualifications\nTo perform this job successfully, the individual must be able to perform each essential duty satisfactorily. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.\nPreferred Education and/or Experience\nA bachelor's degree in Accounting, Business Administration, or Construction Management.\nOne to three years of related professional cost accounting experience is required, preferably in the construction industry.\nGeneral accounting fundamentals and concepts required.\nStrong understanding of related accounting practices and procedures.\nAdvanced working knowledge of accounting systems software.\n2- 5 years working in an administrative job, supporting management.\nWorking knowledge of federal, state, and city regulations and guidelines.\nComputer Skills\nMust demonstrate proficiency in Microsoft Office applications, particularly Microsoft Outlook and Excel. \nMust have experience with accounting software.\nAccounts payable experience a strong plus, payroll experience a plus as well. \nAbility to communicate effectively with various departments and outside vendors.\nRequired Attributes\nThe requirements listed below are representative of characteristics and demonstrated capabilities sought to perform this job successfully.\nMust have strong attention to detail.\nMust have strong time management abilities.\nMust have the ability to compile and analyze data, and problem solve.\nMust build positive working relationships with multiple levels of employees and management\nMust demonstrate integrity, honesty, professionalism, and appropriate concern regarding dissemination of sensitive and confidential information.\nMust demonstrate commitment to company values, goals and objectives.\nLanguage Skills\nMust have the demonstrated ability to effectively communicate in English, cooperate, and collaborate with multiple levels of customers, employees, unions, government agencies, vendors and suppliers, and other contractor organizations.\nPhysical Demands\nThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
