This position plays a critical role in the successful execution of construction projects by assisting Project Managers with project administration, coordination, scheduling, procurement, documentation, and customer communication.\nThe ideal candidate will thrive in a fast-paced environment, possess strong organizational skills, and enjoy collaborating with project teams, customers, subcontractors, and internal departments to ensure projects are completed safely, efficiently, on schedule, and within budget.\nEssential Duties & Responsibilities\nSupport Project Managers in the day-to-day administration of construction projects.\nAssist with project start-ups, close-outs, and project documentation.\nCoordinate project schedules, meetings, and communication between project stakeholders.\nTrack project milestones, deadlines, and deliverables.\nCreate and maintain project files, contracts, change orders, submittals, RFIs, and closeout documentation.\nAssist with procurement activities, including material orders and subcontractor coordination.\nMonitor project costs and support project financial reporting.\nCoordinate labor, equipment, and material resources to support project execution.\nAssist with estimating and proposal preparation as needed.\nWork closely with Accounting to support billing, invoicing, and project reporting requirements.\nMaintain accurate records within company systems and software platforms.\nAttend project meetings and distribute meeting notes and action items.\nDevelop and maintain positive relationships with customers, vendors, subcontractors, and internal teams.\nEscalate project issues and risks to management in a timely manner.\nSupport department and company goals while maintaining a strong customer-service focus.\nOther tasks as assigned.\nQualifications\n2+ years of project coordination, construction administration, or related industry experience preferred.\nExperience in commercial construction, mechanical, electrical, HVAC, plumbing, or related trades preferred.\nProficient in Microsoft Office Suite, particularly Excel, Outlook, Word, and Teams.\nExperience with ERP systems, COINS, Procore, PlanGrid, or similar construction management software is a plus.\nStrong organizational and time-management skills.\nAbility to manage multiple priorities and competing deadlines.\nExcellent verbal and written communication skills.\nStrong attention to detail and problem-solving abilities.\nCustomer-focused with a collaborative team-oriented mindset.\nAbility to work independently and exercise sound judgment.\nBenefits\nComprehensive health coverage (medical, dental, vision, prescription).\nTelehealth access and HSA/FSA options.\nEmployer-paid Life, Accident, and Disability Insurance: 1.5 times your salary.\nGenerous paid time off, with increases each year + 10 paid holidays.\nOn-site employee gym and EV plugs and/or bike commuter benefits.\nOpportunities for professional growth through educational assistance and career development programs.\nA flexible work environment and culture that prioritizes team collaboration, work-life balance, and personal well-being.\nWhy Air Systems?\nAt Air Systems, we believe in fostering an environment of growth, integrity, and respect.
