This position will Perform office management and clerical support at the IDA sites in Alexandria, VA & Washington DC. #EGS#LI-JC1\nEssential Duties & Responsibilities\nCompiles and records production data to compare records and reports on volume of production, consumption of material, quality control, etc.\nMay perform any combination of the following duties: compile and record production data from customer orders, work tickets, product specifications, and individual worker sheets.\nAdditional tasks include: writing production reports, following prescribed formats, maintaining files of documents used and prepared, compiling detailed production sheets or work tickets for use by production workers as guides in assembly or manufacture of products.\nPrepares written work schedules based on established guidelines and priorities; compiles material inventory records.\nPrepares requisitions for procurement of materials and supplies charts.\nSorts and distributes work tickets.\nOversee subcontractor management to include submittal of subcontract agreements, PO issuance, PO receipt/payment, and collection of reports.\nOversee CMMS work order system to ensure that staff are properly trained and use system appropriately. Work with vendors and contractors as required to ensure that system functions properly.\nWork with Microsoft Office Suite to produce professional and accurate documents as needed.\nPrepare correspondence, reports, letters, spreadsheets, and other documents for the Project Manager.\nProcess inquiries regarding site operations and functions.\nPrepare reports, statistics, and other information related to the operation of the contract.\nEnsure invoicing to the client is accurate and timely.\nSchedule and participate in meetings and conferences.\nPrepares meeting minutes and agendas and distribute as required.\nAssist in the preparation and maintenance of the budget and forecasts for the contract.\nDevelop financial reports to determine monthly spend and income versus budget.\nEnsures that staff attendance and leave is properly administered, tracked, and accounted for.\nWork with the Accounting Department to ensure that invoices, receipts, and other vendor-related documentation is accurate and timely.\nPerform other tasks as directed by his Supervisor.\nQualifications\nFour (4) or more years experience in Office Management and/or Clerical Support.\nExperience with MS Office, CMMS, and financial systems\nEqual Opportunity Employer\nAs a leading provider of mechanical and electrical construction, facilities services, and energy infrastructure, we offer employees a competitive salary and benefits package and we are always looking for individuals with the talent and skills required to contribute to our continued growth and success.
