What You Will Do:
Provide administrative support to the Leadership Team by managing calendars, correspondence, access requests and competing priorities while handling sensitive information with discretion.
Support financial activities by gathering and entering budget data, preparing variance reports, processing invoices and completing travel arrangements and expense reports.
Coordinate in-person and virtual meetings, town halls, department events, catering, meeting rooms, office equipment, supplies and maintenance requests.
Manage employee and contractor onboarding, offboarding, workspace planning, resource requests and mandatory training or certification tracking.
Design, manage and maintain SharePoint sites, shared document storage, databases and departmental records, ensuring information is accurate, organized and accessible.
Support employees with company systems and administrative processes, including Workday vacation planning, Oracle, ELink, MyService and Navan, while providing coverage and guidance to other administrative staff as needed.
Who You Are:
Obtained your High School diploma or Canadian Adult Education Credential (CAEC) equivalent; post-secondary education or certification in Business Administration, Arts or General Administration is considered an asset.
3+ years of directly related administrative experience, ideally supporting a large team in a dynamic professional office environment.
Strong interpersonal, client service, written and verbal communication skills, with the discretion, tact and diplomacy required to manage confidential or sensitive information.
Highly proficient with Microsoft Office, including Excel, Word, PowerPoint, SharePoint and Microsoft Teams; experience with Workday, SAP, Oracle or Power BI is an asset.
Ability to anticipate needs, manage competing priorities and make sound decisions with minimal supervision in a fast-paced and challenging environment.
Excellent time management, analytical, planning, problem-solving and organizational skills; experience with databases, spreadsheets, accounting, business math or business communications is an asset.
Working Conditions:
Work is performed in an open office environment.
Fast-paced work environment, requiring balancing the constraints of multiple simultaneous projects with hard deadlines and the needs of a significant number of stakeholders.
Work can be repetitious, have tight timelines, and may be stressful.
Overtime may be required.
