We are at the forefront of innovation in our space, and our success is driven by a dynamic team passionate about delivering exceptional services to our customers.\nJOB SUMMARY:\nOur dynamic Medical Management team is seeking a full-time IME Assistant Operations Manager\n(REMOTE) to provide administrative and operational support for Independent Medical Examinations (IME) and related services. This role is responsible for coordinating communications with claimants, attorneys, providers, and clients, ensuring all post-scheduling activities are completed accurately, efficiently, and within required timeframes. The ideal candidate thrives in a fast-paced environment, is highly organized, and delivers exceptional customer service.\nThe ideal candidate is a proactive, detail-oriented professional with administrative experience who can effectively manage multiple priorities, meet deadlines, and provide outstanding client service.\nKEY RESPONSIBILITIES:\nAppointment Coordination - Conduct courtesy and reminder calls to claimants and attorneys, distribute appointment documentation, and confirm appointment details with all parties. \n\nProvider Communication - Coordinate with physician offices to confirm appointments, attendance, and timely completion of reports and addendums.\n\nProvider Relations - Partner with physicians and medical providers to secure availability, obtain required documentation, and facilitate timely service delivery. \n\nClient Updates - Communicate appointment attendance and status updates to clients in a timely and professional manner.\n\nAncillary Service Coordination - Arrange transportation, interpretation, and other support services necessary to facilitate successful examinations and reviews. \n\nTeam Support & Collaboration - Support IME division by assisting Operations Manager with administrative tasks and working closely with internal team members, clients, and providers to ensure a seamless service experience. \n\nCompliance & Quality Assurance - Ensure adherence to client requirements, company policies, state statutes, deadlines, and confidentiality standards. \n\nQUALIFICATIONS:\nEducation:\nHigh school diploma or equivalent (required). \nAssociate's degree in Business Administration, Healthcare Administration, or a related field (preferred). \nExperience:\nMinimum of 1 to 3 years of customer service, scheduling, administrative, operations, or healthcare support experience (required).\nIndustry experience in healthcare, medical administration, workers' compensation, claims, or insurance industry experience (strongly preferred).\nExperience in leadership, coaching, supervising a small to mid size team (plus). \nSkills:\nStrong communication and organizational abilities. \nAttention to detail and problem-solving skills. \nAbility to multitask and manage deadlines. \nProfessionalism, discretion, and confidentiality. \nProficiency with Microsoft Office Suite products.\nWORKING CONDITIONS:\nThis position operates in a remote or office-based environment with frequent use of computers and office equipment.
