Position Overview
The Senior Maintenance Coordinator is a key player in Evernest’s maintenance operations. This role requires strong decision-making ability, technical understanding, and ownership of complex repair and maintenance workflows.
You’ll manage 100+ active work orders at a time, balancing cost, quality, and speed across multiple markets. You’ll work with vendors, internal technicians, and property managers to ensure every issue is resolved quickly, accurately, and with exceptional service.
This is not an entry-level role. The ideal candidate has extensive SFR (single-family rental) maintenance experience, can think critically under pressure, and thrives in a fast-paced, high-accountability environment.
RESPONSIBILITIES AND REQUIREMENTS
- Manage 100+ active work orders at once, prioritizing tasks and resources for maximum efficiency.
- Coordinate with internal technicians and vendors to ensure timely and high-quality completion of repairs.
- Review estimates for accuracy, scope, and alignment with owner expectations and Evernest standards.
- Balance cost to owner, repair speed, and quality of work to achieve the best possible outcome.
- Proactively identify issues or delays and take ownership of resolving them.
- Uphold a high bar for excellence in every aspect of execution - communication, accuracy, and follow-through.
- Hold vendors accountable to pricing, timelines, and workmanship standards.
- Build and maintain strong working relationships to ensure reliability and consistency.
- Partner with in-house technicians to optimize schedules, utilization, and communication.
- Analyze maintenance data to identify trends, inefficiencies, and opportunities to improve processes.
- Collaborate with leadership to strengthen systems, SOPs, and reporting standards.
- Support new team members through training and sharing best practices.
- 3-5+ years of experience in property maintenance or SFR operations (vendor management, work order coordination, estimate review)
- Demonstrated ability to manage high-volume workloads (100+ open work orders) with accuracy and urgency
- Strong understanding of residential systems (HVAC, plumbing, electrical, general maintenance) and repair processes
- Proven success in balancing speed, quality, and cost to deliver excellent results
- Excellent communication and collaboration skills with both internal teams and external vendors
- Proficiency in property management or maintenance software (e.g., Property Meld, AppFolio, Buildium, Service Fusion, etc.)
- Comfort with data, reporting tools, and technology for tracking performance and prioritization
