Location: Vancouver, BC
Compensation: $55,000 - $60,000 annually
Inventory & Facilities Coordinator
The Inventory & Facilities Coordinator oversees hospital purchasing, inventory control, facilities maintenance, and day-to-day operational support. This role works closely with VAERC’s leadership team, suppliers, vendors, and maintenance partners to ensure the hospital runs efficiently. The position is 40 hours per week, with shifts scheduled primarily during business hours when possible.
Key Responsibilities
Inventory & Purchasing
Manage inventory levels, ordering, receiving, returns, special orders, and staff/clinic purchases using Woofware and inventory spreadsheets.
Monitor product usage, pricing, sales history, and inventory reports; source products based on price, service, warranty, and availability.
Coordinate quarterly inventory counts and maintain a clean, organized stock room.
Manage supplier invoices, promotions, purchasing records, and import permits/CBSA requirements as needed.
Communicate new product codes, pricing updates, fee adjustments, and billing practices to the hospital team.
Coordinate shipping and receiving with couriers.
Facilities & Operations
Coordinate maintenance, repairs, inspections, and servicing of medical equipment and hospital facilities.
Source new equipment and assist with business cases, implementation, and associate training as needed.
Coordinate building, outdoor, security, fire, radiation safety, HVAC, plumbing, electrical, and other maintenance services.
Maintain a capital equipment list and track equipment lifespan and replacement needs.
Coordinate IT equipment and support hospital events and errands as required.
Participate in the shared on-call rotation for facilities emergencies.
Other Responsibilities
Promote a safe and healthy work environment and follow VCA Canada policies and procedures.
Maintain confidentiality and complete other duties as assigned.
Qualifications
Strong communication, interpersonal, organizational, and problem-solving skills.
Ability to work independently and collaboratively with minimal supervision.
Proficiency with Microsoft Office, Outlook, and preferably Woofware.
Veterinary practice experience is an asset but not required.
Flexible, professional, and diplomatic when working with colleagues, clients, and suppliers.
Physical & Working Conditions
Ability to lift up to 50 lbs and sit or stand for extended periods.
Potential exposure to animal odours, noise, and feces.
VAERC operates 24/7, including statutory holidays, so flexibility to work a variety of shifts and participate in emergency coverage is required.
