good communication with branches and suppliers\n- Basic understanding of ISO and B ‑BBEE process touchpoints (e.g., using approved supplier lists and maintaining master data of quote comparatives)\n- Controls and SOPs (Standard Operating Procedures)\n- Purchasing limits as defined - cannot create or approve suppliers or contracts\n- Uses approved supplier list curated by the buying team\n- Clear aged PR/PO backlogs - stabilise shortage queues\n- Cross‑train across key categories to become a reliable relief for buying team\n- Controls and SOPs (Standard Operating Procedures)\n- Increases throughput and resilience; avoids delays when senior staff are unavailable; improves service to branches\n\nBasic Function:\n- Provide purchasing, expediting, and administrative support to the Procurement Team by managing routine procurement activities, expediting supplier deliveries, maintaining accurate purchasing data, and assisting buyers in reducing daily workload\n- Ensure continuity of procurement operations during peak workloads, leave periods, and buyer absences while supporting branch requirements and supplier performance objectives\n\nDuties & Responsibilities\nKey Responsibilities:\n- Purchase Order Administration\n\nCreate and convert approved purchase requisitions into Purchase Orders (POs)\n\nEnsure POs are issued accurately and within agreed turnaround times\n\nMonitor and maintain open PO reports\n\nTrack order acknowledgements and supplier confirmations\n\nFollow up on unconfirmed orders and overdue supplier responses\n\nAssist with PO amendments, cancellations, and revisions where required\n\n- Expediting & Supplier Follow-Up\n\nProactively expedite open orders and backorders\n\nFollow up on scheduled deliveries to ensure on-time supply\n\nEscalate critical late deliveries to Buyers and Procurement Management\n\nCommunicate delivery updates to branches and internal stakeholders\n\nMaintain an accurate overdue order tracker\n\nAssist in resolving supply shortages and urgent operational requirements\n\n- Tactical Buying & Sourcing\n\nSource routine and low-risk commodities within delegated purchasing authority\n\nObtain competitive quotations from approved suppliers\n\nConduct RFQs and prepare quote comparisons\n\nEnsure compliance with procurement procedures and approved supplier requirements\n\nSupport buyers with tactical sourcing activities and supplier follow-ups\n\n- Supplier & Invoice Administration\n\nResolve invoice, pricing, and Goods Received Note (GRN) discrepancies with suppliers and Finance\n\nFollow up on supplier documentation requests\n\nAssist with supplier onboarding administration as directed by the buying team\n\nMaintain supplier communication records\n\n- Master Data Management\n\nMaintain item master information within the ERP system\n\nEnsure accuracy of:\n * Units of Measure (UoM)\n * Supplier lead times\n * Minimum Order Quantities (MOQ)\n * Supplier reference\n * Pricing information where applicable\n * Support data quality initiatives\n\n- Reporting & KPI Support\n\nCompile and maintain procurement reports\n\nUpdate open order and overdue delivery reports\n\nMonitor procurement KPIs and provide weekly status updates\n\nAssist buyers with reporting requirements and project administration\n\n- General Procurement Support\n\nProvide workload relief to Buyers across multiple categories\n\nAssist with procurement projects and improvement initiatives\n\nCrosstrain on key commodity groups\n\nProvide procurement coverage during leave periods and peak demand periods\n\nPerform additional procurement related duties as required.\n\nKey Performance Indicators (KPIs)\n\n- Procurement Efficiency\n\nPO cycle time from approved requisition to PO creation\n\nNumber of PRs processed per month\n\nOpen requisition backlog\n\n- Supplier Delivery Performance\n\nOn-time delivery follow-up completion\n\nReduction of overdue PO lines\n\nBackorder resolution turnaround time\n\nExpedite requests closed within SLA\n\n- Sourcing Compliance\n\nPercentage of purchases supported by:\n\nThree quotations\n\nContract pricing\n\nApproved catalogues\n\n- Data Quality\n\nERP item master accuracy\n\nSupplier data accuracy\n\nPO accuracy rate\n\n- Internal Service Levels\n\nResponse time to branch enquiries\n\nResolution time for delivery queries\n\nStakeholder satisfaction feedback\n\n- Permitted\n\nRaise Purchase Orders within approved workflows\n\nRequest quotations from approved suppliers\n\nExpedite deliveries and communicate with suppliers\n\nPrepare supplier comparisons and recommendations\n\n- Compliance Requirements\n\nUse approved supplier lists only\n\nAdhere to procurement SOPs\n\nFollow ISO-related purchasing requirements\n\nMaintain B-BBEE supplier documentation where required\n\nEnsure procurement records are accurately maintained and auditable\n\nPackage & Remuneration\nR -
