This role will focus on managing the end-to-end onboarding process for newly hired employees across our US clients. The ideal candidate will have experience in onboarding coordination, compliance, documentation, HR systems, and stakeholder communication while ensuring a seamless and positive onboarding experience.\nWhat to expect in your journey\nPre-Onboarding Coordination:\nCoordinate all pre-joining activities, including document collection, offer acceptance tracking, and onboarding readiness. Ensure all onboarding requirements are completed before the employee's start date.\nNew Hire Documentation:\nCollect, verify, and maintain employee documentation, ensuring completeness and compliance with company policies, client requirements, and federal regulations.\nHRIS & Onboarding System Management:\nManage employee records within HRIS/ATS platforms such as Workday, ADP Workforce Now, Bullhorn, or similar systems. Maintain accurate employee data and onboarding workflows.\nCandidate & Employee Communication:\nServe as the primary point of contact for new hires throughout the onboarding process. Send onboarding emails, joining instructions, policy documents, and respond to employee queries in a timely manner.\nI-9 Verification & Employment Eligibility:\nCoordinate and manage the Form I-9 Employment Eligibility Verification process for all new hires. Ensure accurate completion, timely verification of supporting documents, and compliance with US federal employment regulations.\nBackground Verification & Drug Test Coordination:\nCoordinate background verification and pre-employment drug screening for shortlisted candidates. Track completion status, communicate with vendors and candidates, and ensure all pre-employment requirements are fulfilled before onboarding.\nCross-Functional Coordination:\nCollaborate with Recruitment, HR, IT, Payroll, Operations, and Hiring Managers to ensure all onboarding activities-including system access, equipment allocation, payroll setup, and compliance requirements-are completed before Day One.\nOrientation Support:\nCoordinate and facilitate new hire orientation sessions, introduce company policies, culture, benefits, and ensure a smooth transition into the organization.\nReporting & Data Accuracy:\nMaintain onboarding reports, dashboards, and documentation. Monitor onboarding metrics and ensure accurate record keeping within HR systems.\nProcess Improvement:\nIdentify opportunities to streamline onboarding processes, enhance employee experience, and improve operational efficiency through automation and standardization.\nWhat you bring to the table\nMinimum 2+ years of experience in HR Operations, Employee Onboarding, or Recruitment Operations.\nExperience managing onboarding processes for US-based employees or clients.\nHands-on experience with HRIS/ATS platforms such as Workday, ADP Workforce Now, Bullhorn, or similar systems.\nWorking knowledge of US onboarding processes, including Form I-9 verification, background verification, and pre-employment drug testing.\nStrong understanding of onboarding documentation, compliance requirements, and employment eligibility verification.\nExcellent verbal and written communication skills with strong stakeholder management abilities.\nHigh attention to detail, organizational skills, and the ability to manage multiple onboarding activities simultaneously.\nProficiency in Microsoft Office Suite (Excel, Outlook, Word) and HR reporting tools.\nWhere will you work\nMohali: Bestech Business Towers, Sector 66, Mohali.\nWhat to expect in the evaluation process\nHR Round (1) → Pre-employment Assessment → Operations Interview → HR Round (2)/Feedback\nAbout EXO Edge\nEXO Edge is a leading provider of Accounting, Legal, Technology, and Business Support Services to the global Real Estate industry.
