The incumbent will be assigned to the centralized learning support team and will provide deployment and coordination support across service lines based on business priorities and capacity needs.\nPosition description:\nThe Learning Coordinator (LC) is part of the centralized learning support team and is responsible for coordinating the logistics and deployment of learning programs across EY Canada service lines. The role works closely with Learning Services Specialists (LSSs), Learning Leaders (LLs), and other stakeholders to provide agreed-upon support for assigned classes and initiatives.\nThe LC’s primary responsibilities include submitting courses and scheduling offerings, managing participant rosters, communications, compliance, and course deployment, including production and pre- and post-course activities. Assignments may support different service lines and programs depending on centralized team priorities, demand, and available capacity.\nThe location of this position is open.\nYour key responsibilities\nLearner administration\nWork with assigned service line stakeholders to identify target learners and forecast the number of classes, participants, deployment modality (e.g., Virtual Instructor-led Training, classroom, eLearning, webcast), timing, session counts, and general course planning.\nSupport the LSS with data required to finalize learning calendar, schedule participants\nEnsure sessions are scheduled with producers and production technologies (i.e.: Zoom link for sessions) as necessary.\nWork across teams to update and manage rosters to ensure schedules are kept current of any changes\nSupport the LSS in the curation of level-based eLearning programs, including opening programs in SuccessFactors and scheduling of webcasts as required.\nPrepare size and set-up of classrooms needed to support classes (participant materials, polling questions, breakout rooms)\nEnsure award of CE credits\nTrack and follow up with classroom training no-shows and missed time attestations\nCreate and manage learning compliance tracking\nAddress ad-hoc learner inquiries, liaising with LSSs & LL when necessary\nParticipate in weekly status update meetings with LSSs & LL.\nAssist with TD&L working groups, projects and deployment as needed\nProduce VILT sessions and Teams Live Webcasts\nLearning Management System (LMS)\nSet up courses and classes within the LMS, including attendance tracking\nSupport and onboard other team members as required\nMonitor continuing Education (CE) compliance\nUpdate and manage rosters, manage waitlists, cancellations, etc.\nPull consumption and learning history reports\nVirtual learning Producer\nExperience with virtual platforms such as Zoom, Teams, etc. required\nAdmit participants, track and monitor attendance and note absences/no-shows\nDraft producer guides for new learning sessions\nCreate and manage Polls, Breakout Rooms and Whiteboard\nMonitor Chat\nFacilitator support\nAssist the LSS with the administration of the facilitator management tool, including recognition\nAvailable and accessible to facilitator for troubleshooting and support prior to, during and after class\nDistribute evaluation summary reports to facilitators post session\nCreate evaluation summary reports and distribute to LL for program debrief\nBudget\nGather / compile preliminary information for budgets and review with LSS & Learning Leader\nReview invoices and ensure accuracy before sending for approvals and payment\nSupport LSS in compiling monthly learning accruals for areas of responsibility. and advise Learning Leader if any accruals are needed\nSkills and attributes for success\nExperience in managing conference logistics, program deployment or project management\nProficient in Outlook\nProficient in Excel (filters, vlookups, pivot tables or Power Query).\nProficient in Zoom, MS Teams, SharePoint and Office 360\nExperience with Learning Management Systems (LMS), particularly SuccessFactors, is an asset\nStrong attention to detail and impeccable communication skills\nStrong analytical, organizational and project management skills\nGreat interpersonal skills and ability to build and maintain trusted relationships\nWillingness to work in a team environment\nAbility to manage multiple priorities independently during peak times\nAbility to take initiative and think through next steps / prioritize items to complete\nBilingual candidate appreciated\nThis position may require overtime during peak times.\nWhat we look for\nWe are looking for candidates who are highly motivated, analytical, logical thinkers and have a very strong attention to detail and the ability to meet multiple and/or unexpected deadlines in a demanding environment.\nWhat working at EY offers\nAt EY, our Total Rewards package supports our commitment to creating a leading people culture - built on high-performance teaming - where everyone can achieve their potential and contribute to building a better working world for our people, our clients and our communities.
