Position Summary:

The Office of Government Relations and Economic Development at Florida Atlantic University is seeking a Communication, Marketing, and Event Coordinator for Business and Economic Development in Boca Raton, FL.

The Communications, Marketing, and Event Coordinator is responsible for the marketing, creative, communications, and event function for the Business and Economic Development unit at Florida Atlantic University. This is a highly visible role for a hands-on creative professional who takes charge of the unit’s public presence, drives participant recruitment across every program, and serves as an on-the-ground ambassador for the unit’s work throughout Broward and Palm Beach Counties.

Reporting to the Assistant Vice President for Business and Economic Development, the Coordinator designs and executes the unit’s integrated communications strategy; independently produces the creative assets, campaigns, and collateral required to fill programs and events; plans and delivers workshops, trainings, and signature convenings; and manages the marketing and event data that support grant reporting, funder compliance, and continuous improvement. The Coordinator is the creative engine and operational backbone that ensures the unit’s programs are seen, understood, attended, and remembered. End Date: Sept 30, 2026, and renewable per grant cycles.

Summary of Responsibilities:

Duties are organized below into five accountability areas. The coordinator is expected to lead and execute across all five.

1. Strategic Ownership of the Marketing and Communications Function

  • Designs, executes, and continuously improves the integrated communications and marketing strategy for the unit and each of its programs, in alignment with unit goals, grant deliverables, and the strategic priorities of funders and the host institution.
  • Sets the creative direction, editorial voice, and campaign calendar for unit-wide communications, ensuring consistency across programs and audiences.
  • Works directly with the AVP and program leadership to align messaging and creative strategy with unit priorities, program milestones, and reporting cycles.
  • Ensures every communication and marketing piece complies with Florida Atlantic University branding standards and with the co-branding, logo usage, and acknowledgment requirements of program sponsors and funders, including the SBA and DoW.

2. Creative Production and Content Development

  • Independently produces the full range of creative assets required by the unit: flyers, one-pagers, brochures, digital ads, event graphics, presentation decks, video snippets, social media content, newsletters, email campaigns, web copy, signage, and event collateral.
  • Writes, designs, and adapts materials for multiple audiences (entrepreneurs, established businesses, manufacturers, procurement contractors, community partners, funders, and internal stakeholders) and, where appropriate, in both English and Spanish.
  • Manages the unit’s social media accounts and content calendars, ensuring consistent voice, active engagement, and timely posting across platforms.

3. Event Planning, Execution, and Participant Recruitment

  • Plans, coordinates, and executes the full lifecycle of the unit’s events, trainings, workshops, pitch sessions, reverse trade shows, and networking activities, including logistics, venue selection, vendor and sponsor coordination, registration management, run-of-show, and on-site delivery.
  • Owns participant recruitment. Designs and runs the outreach campaigns, referral partnerships, and audience-development tactics needed to hit or exceed target attendance for every event, workshop, and cohort the unit produces. Activities coordinated with other key staff and stakeholders.
  • Manages pre-event promotion and post-event follow-up in coordination with program staff, ensuring attendees convert into clients, referrals, or engaged community partners. It includes reporting and maintaining good standing in KPIs related to the unit.
  • Attends and staffs events on a variable schedule, including evenings and weekends, at locations across Broward and Palm Beach Counties. It requires business or business casual attire and on-the-region travel.

4. Data Management, Reporting, and Grant Compliance

  • Manages all data related to marketing, communications, and events, including audience lists, campaign performance, registration and attendance records, and outreach touchpoints. The programs are aligned to a rigorous non-disclosure agreement and confidentiality policy.
  • Tracks and reports on marketing and event metrics - social media engagement, campaign reach, email performance, event attendance, participant demographics, and outreach coverage - to support program dashboards, funder reporting, and grant compliance requirements.
  • Maintains an organized, accessible archive of marketing materials, event documentation, branded templates, photos, and video assets for use across the unit’s programs.
  • Ensures all activities are logged in the required reporting platforms and that partnership and outreach activity is documented for KPI and audit purposes.

5. Program Ambassadorship and Stakeholder Coordination

  • Serves as a public-facing ambassador for the unit’s programs at community events, partner meetings, chamber and municipal convenings, and outreach activities, representing the unit’s brand and value proposition with clarity and professionalism.
  • Builds and maintains working relationships with program staff, consultants, external partners, sponsors, media contacts, and referral organizations to source content, confirm event details, and secure promotional support.
  • Represents the unit at trainings and outreach activities on the schedule required by program needs and actively cultivates new promotional and partnership opportunities.
  • Performs other job-related duties as assigned or directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
