Working remotely and in-person (~3-4 days per week) from our Cincinnati, OH office, you provide the structure, organization, and communication that allows Project Managers and field teams to perform at their best.\nThis role is the backbone of the mitigation operation-coordinating schedules, maintaining accurate documentation, supporting financial and reporting processes, and ensuring clear, timely communication between internal teams, clients, vendors, and insurance partners. Your ability to take control behind the scenes ensures projects move forward efficiently and predictably during chaotic situations.\nWhat You’ll Do\nCoordinate clerical, administrative, and accounting functions for mitigation and rebuild projects\nSupport Project Managers and Operations leadership with daily project coordination\nMaintain accurate job files, notes, and documentation within PSA (our job management software)\nTrack mitigation and rebuild project schedules, appointments, inspections, material deliveries, subcontractor workflows, and overall project workflows from beginning to end\nCoordinate office schedules and communicate with customers regarding arrivals, changes, or delays\nAssist with collections processes, including deductibles, progress payments, and final payments when needed\nCoordinate and communicate with insurance companies, adjusters, agents, vendors, and clients throughout the project lifecycle\nPrepare, review, complete, and route project-related forms, paperwork, purchase orders, and work orders\nPerform project tracking and reporting, including schedules, metrics, and operational reports using Power BI\nProvide quick, accurate responses to vendors, subcontractors, agents, and clients\nSupport office staff, production management, and sales teams as needed\nAnswer incoming calls, direct inquiries, and assist clients professionally and empathetically\nDemonstrate a positive and professional image of the company through written, verbal, and visual communication\nApply all safety rules and regulations and help prevent work hazards\nPerform other administrative and coordination duties as assigned\nRequirements\nRequired\nExcellent time-management and organizational skills\nStrong written and verbal communication skills\nAbility to manage multiple priorities in a fast-paced environment\nProfessionalism, attention to detail, and reliability\nAbility to apply basic mathematical and accounting concepts\nExperience using job management systems; PSA experience strongly preferred\nExperience creating, maintaining, or working with reports and dashboards; Power BI experience required\nReliable attendance and punctuality\nPreferred\nKnowledge of the restoration or construction industry with emphasis on Xactimate experience\nExperience supporting Project Managers or Operations teams\nExperience coordinating insurance-related workflows, including TPAs/program work\nAssociate’s degree and/or Bachelor’s degree preferred\nBenefits\nComprehensive health, dental, and vision coverage\n401(k) with company match\nGenerous PTO and paid holidays\nTraining and development opportunities\nGrowth potential within a PE-backed, expanding organization.\nCulture & Opportunity\nIn-person, team-based role supporting emergency remediation operations\nCollaborative office environment closely aligned with field teams\nClear opportunity for growth into senior coordination, operations, or project management roles\nExposure to insurance-driven mitigation and reconstruction workflows\nA values-driven organization that prioritizes people, safety, and accountability\nReady to Join Us?\nIf you thrive on organization, communication, and taking control when things are chaotic, we would love to hear from you.
