The integrated full-service solutions leverage a 99-year legacy in event management as well as new technologies to deliver moments that matter.\nSummary\nThe Production Operations Coordinator supports Creative Services production operations through resource coordination, workforce planning, scheduling, operational administration, and workflow execution across multiple concurrent projects. This role serves as a key operational partner to Creative Services leadership, helping maintain staffing visibility, production readiness, resource utilization, and workflow consistency across the Creative Services portfolio. By supporting resource planning, coordinating contractor and vendor engagement, administering operational systems and reporting processes, and maintaining workforce planning documentation, this position helps ensure effective project coverage, informed decision-making, exceptional internal support, and successful event delivery.\nThis position will support our Audio Visual and Event Technology team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show-site 2-3 days per week. The ideal candidate will be based out of any of the following locations:\nDallas, TX\nLas Vegas, NV\nOrlando, FL \nEssential Duties & Responsibilities\nResource Planning, Staffing & Operations\nSupport Creative Services leadership through staffing analysis, resource reporting, workforce planning activities, and administrative coordination related to production operations and resource management.\nMaintain resource tracking tools, staffing reports, dashboards, operational metrics, and scheduling documentation to support workforce planning, leadership visibility, and decision-making.\nCoordinate and maintain operational systems and resource management platforms, including SRF, LASSO, Mertz, and other staffing, scheduling, workforce planning, and reporting tools.\nCoordinate and maintain Creative Services resource assignments by monitoring availability, workload, skillsets, project requirements, and staffing priorities to support effective scheduling, project coverage, and resource utilization.\nIdentify resource conflicts, capacity constraints, and scheduling gaps, escalating issues and supporting staffing recommendations based on project needs, resource experience, availability, and business priorities.\nAssist with freelance and contractor coordination, including resource identification, onboarding support, and ongoing communication.\nIdentify opportunities to improve staffing, scheduling, reporting, and resource management processes, and support workflow improvements that enhance operational efficiency, visibility, and consistency.\nCross-Functional Coordination & Production Operations\nCoordinate communication and collaboration across Creative Services, Technical teams, vendors, contractors, and other stakeholders to support project alignment, deliverable execution, and successful event delivery. \nCoordinate production meetings, status updates, and stakeholder communications, identifying and escalating project risks, scheduling conflicts, and resource gaps as needed.\nAssist with budget tracking, purchase orders, expense documentation, and other production support activities.\nMaintain workflow tracking, project documentation, operational records, status reporting, and administrative processes that support production operations, resource planning, and leadership decision-making.\nEvent & Production Support\nSupport content collection, asset management, version control, and distribution of production materials, including project files, voiceover recordings, music assets, and other shared resources.\nAssist with voiceover coordination, including scheduling, asset tracking, and distribution of scripts and finalized recordings.\nSupport onsite event execution, production logistics, post-event reconciliation, reporting, and other production support functions as business needs require.\nEducation & Experience\nBachelor’s degree preferred, High School Diploma or Equivalent with relevant work experience required.\n2-5 years of experience in live event production, project coordination, or related field. \nExperience maintaining operational records, reports, dashboards, and workflow tracking processes.\nExperience coordinating freelance, contractor, or distributed creative teams.\nExperience working with project management and workflow systems such as Workfront, Smartsheet, Monday.com, or similar tools.\nFamiliarity with operational systems and resource management platforms such as SRF, LASSO, Mertz, Workfront, and related workforce planning tools.\nKnowledge, Skills & Abilities\nREQUIRED\nStrong organizational and coordination skills\nAttention to detail and ability to manage multiple tasks\nEffective communication and relationship management skills\nStrong customer service orientation and ability to support internal stakeholders in a responsive, collaborative manner\nAbility to work in a fast-paced, deadline-driven environment\nBasic understanding of scheduling, logistics, and workflow management\nAbility to maintain accurate operational records, reporting, and resource planning documentation\nAbility to analyze staffing needs, identify resource constraints, and support workforce planning decisions\nProficiency with scheduling, reporting, and project management systems\nPREFERRED\nExposure to live event production environments.\nFamiliarity with production workflows and terminology.\nExperience working with cross-functional teams.\nUnderstanding of Creative Services roles and skillsets.\nResource planning, capacity management, workload prioritization, and evaluation of staffing requirements across multiple concurrent projects.\nExperience evaluating business processes and recommending workflow improvements.\nTravel Requirements\nTravel up to 25%\nWhat We Offer\nOur part-time as needed positions are not benefit eligible;
