The Operations Specialist plays a critical role in ensuring the seamless execution of regional tour operations across multiple brands and destinations. This role is responsible for managing hotel reservations, supporting financial processes, coordinating with suppliers and internal teams and contributing to the continuous improvement of operational workflows. With a strong focus on brand consistency, customer satisfaction, and operational efficiency - the role supports the delivery of exceptional travel experiences while upholding the company’s core values.
This is a 12 to 18 month Fixed Term Contract to cover a maternity leave and will be a remote position that operates across multiple regions, ensuring consistent and accurate representation of the company and other client brands throughout the designated region.
Key Responsibilities:
Maintain brand integrity by aligning all communications and operations with brand standards.
Build and maintain strong relationships with suppliers to facilitate smooth operations.
Monitor shared email inboxes, proactively addressing actions and resolving issues promptly.
Manage block allocations by vendor and trip code to optimize capacity and availability.
Coordinate closely with the regional operations team to manage last-minute changes and emergencies, keeping tour staff and suppliers informed.
Oversee all ENH requests from start to finish, working with the Groups department, Reservations team, Buying team and tour staff management team.
Participate in the emergency phone support rotation.
Oversee the local office needs/maintenance on a monthly rotational basis, when assigned.
Assist in preparing regular supplier performance, and financial metrics for management review.
Manage operational accounting processes, including the timely validation and processing of supplier invoices, ensuring strict adherence to budgets.
Investigate and resolve any discrepancies in invoices related to on-tour and overhead budgets.
Collaborate with Finance and Operations teams to maintain audit trails and compliance with business requirements.
Develop, train, and sustain effective working relationships with suppliers
Support Global Sales and Brand teams by providing logistical and informational assistance related to traveler arrivals.
Participate in product reviews and contribute to the development of new products.
Collaborate with the Customer Solutions team to address on-tour and post-tour issues, investigating problems and communicating effectively with all stakeholders to resolve situations efficiently.
Coordinate logistical changes to tours in consultation with the Regional Operations Manager, ensuring tour staff and providers are updated accordingly.
Skills & Experience
Minimum of 3 years of experience in the tourism or travel industry.
Familiarity with the regional geography and a strong understanding of domestic travel logistics.
Strong organizational and time-management skills, with the ability to plan, prioritize, and manage multiple priorities efficiently.
Collaborative team player with excellent communication skills, able to work effectively across cross-functional teams.
Positive, proactive approach to problem-solving.
Proficient in using Google Suite (Docs, Sheets, Slides, Gmail, etc.) for communication, documentation, and data management.
Comfortable working with booking platforms, shared inboxes, and internal reservation or supplier systems.
Attentive to detail, actively listens, and remains calm and effective under pressure.
Flexible and adaptable, with the ability to work shifts including weekends to meet business needs.
