Project Coordinator

GFT is seeking a detail oriented Project Coordinator to join our expanding Power Group. This role will be based in Charlotte, NC this position would be Hybrid. However for the right candidate, this would be a remote position

What you'll be challenged to do:

Working closely with Project Managers, Functional Team Leads, Operations Leadership, and the Project Management Office (PMO), you will help ensure leadership has accurate, timely information to make staffing, delivery, and business decisions. This position offers a unique opportunity to gain exposure to project management, resource management, business operations, financial reporting, and data analytics while supporting some of the nation's most critical power infrastructure programs.

What You'll Be Working On

• Maintain resource forecasting and workforce planning tools used to support engineering delivery across multiple disciplines and business units.
• Coordinate with Project Managers and Functional Team Leads to collect, validate, and update project demand forecasts and staffing plans.
• Monitor forecast accuracy and identify discrepancies between planned and actual resource utilization.
• Support resource allocation activities by tracking open staffing requests and assisting leaders in balancing workload demands.
• Analyze workforce capacity, backlog, utilization, and projected demand to support operational decision-making.
• Assist in developing reports and dashboards that provide visibility into future resource needs and staffing trends.
• Maintain project performance dashboards and operational reporting tools.
• Generate recurring reports for leadership, project teams, and discipline managers related to:
  • Resource forecasting
  • Capacity utilization
  • Revenue forecasting
  • Workload projections
  • Project performance
  • Schedule health
  • Financial performance metrics
• Consolidate information from multiple systems and sources to ensure reporting accuracy.
• Investigate data quality issues and coordinate corrective actions with project teams and stakeholders.
• Support the development and enhancement of Power BI, Microsoft Project, Excel, SharePoint, and other reporting solutions.
• Assist Project Managers in initiating, planning, executing, monitoring, and closing projects.
• Maintain project schedules in Microsoft Project by updating actuals, tracking progress, and coordinating project status updates.
• Prepare project status summaries, red flag reports, and presentation materials for project reviews and leadership meetings.
• Facilitate project status meetings and document meeting minutes, actions, and decisions.
• Support the preparation of cost proposals, project forecasts, and change orders.
• Assist with project accruals, forecasting activities, invoice reviews, and profitability tracking.
• Create and maintain project collaboration environments, including Microsoft Teams workspaces, SharePoint sites, and project file structures.
• Compile and maintain project documentation in accordance with company quality standards and PMO guidelines.
• Participate in project audits, lessons learned sessions, and continuous improvement initiatives.

What you will bring to our firm:

• Associate's degree in Business Administration, Project Management, Engineering Technology, Information Systems, Finance, or a related field.

• 2-5 years of experience supporting project management, operations, reporting, resource planning, business analysis, or related functions.

• Strong proficiency with Microsoft Excel and Microsoft Office applications.

• Strong organizational skills with the ability to manage multiple priorities and deadlines.

• Experience with Microsoft Project, Microsoft Project Online, SharePoint, Power BI, Power Automate, and related reporting tools.

• Experience working with large datasets and organizational systems.

• Excellent written and verbal communication skills.

• Ability to analyze data, identify trends, and communicate findings effectively.

What we prefer you bring:

• Bachelor's degree in Business, Management, Engineering, Information Systems, Finance, or a related discipline.

• Experience supporting engineering, consulting, construction, utility, or infrastructure organizations.

• Experience with resource forecasting, workforce planning, project controls, or operational reporting.

Compensation:

The salary range for this role is $62,000 -$80,000. Salary is dependent upon experience and geographic location.
