This role is responsible for the development, management and execution of various conference elements relating to logistics and production.\nPrimary Responsibilities:\nOversee operational delivery of all logistics and production elements across in-person and virtual conferences including project management, virtual event platform financial management (forecasting, expense management and reconciliation), staff planning and production scheduling.\nManage conference budgets with direct responsibility for all costs associated with logistics and production delivery; produce accurate monthly forecasts and manage expenses effectively.\nSupport Director on cost negotiations, proposals, contracting and terms and conditions for suppliers.\nContribute to and sometimes lead projects on the development of best practices and processes, including internal deployment, communication and instruction.\nAttend conferences as the onsite lead for in-person and virtual delivery including managing the production schedule, creation and management of virtual run-of-show, members’ primary contact and liaising with agency partners and vendors.\nLiaise with key conference partners and team members (internal and external) to ensure successful conference execution; build and maintain good relationships by establishing trust and a working partnership.\nBe a key member of the global Events Gartner Research Board cross-functional team - build effective relationships with peers in all regions, take and share best practices and continuously raise the level of our event!\nConstantly evaluate the experience, feedback and results then implement changes accordingly. Create detailed post-event analysis reports and event de-briefs for review with manager/operations leads.\nVirtual Conferences:\nPlan, organize, and execute the production of virtual sessions from scheduling, recording, quality checks to delivery.\nLeading our production partner to successfully deliver all virtual sessions within strict timelines\nIn-person Conferences:\nThe Conference Manager will oversee, plan & execute conference logistics and will work closely with the Conference Director.\nOversee all pieces of the conference planning process. Support flawless delivery and superior attendee experience across the portfolio of conferences.\nEffective project management including development of and leading the team to adhere to timelines templates and best practices.\nVenue management including but not limited to rooms, meeting facilities, F&B, meeting materials, A/V production.\nExpected Results:\nAchieve operational excellence and execute conferences on time, within budget and with great attention to detail.\nBuild and maintain excellent working relationships, both internally and externally\nNew processes implemented that will help to improve operational efficiency of the team\nQualifications:\nBachelor’s Degree or higher\n5+ Years Event Management experience\nProven event operational skills including production schedules, budget management and event staffing\nProject management experience on detailed programs with multiple variables and dependencies\nProven experience in managing agency and vendor partners\nStrong interpersonal and relationship building skills especially with senior level professionals, cross-functionally and with agency partners\nCreative, innovative and strategic thinker with a strong attention to detail\nStrong financial management skills\nMotivated team player with desire to learn and grow\nExcellent written/oral communication and presentations skills\nDemonstrated ability to adapt, implement and manage change and strive for continuous improvement\nAbility to thrive in high pressure situations\nWho are we?\nAt Gartner, Inc. Please note that actual salaries may vary within the range, or be above or below the range, based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan.
