Job Overview職務概要

Collaborate with team members effectively to execute Order to Invoice operation in order to meet customer requirements in terms of timing, accuracy and quality.

Job Responsibilities and Essential Duties職務責任と必須職務

A list of the main responsibilities and percentage of time spent in each responsibility or group of responsibilities:

1. Order Management & Customer Operations

• Enter orders, create delivery slips, and process invoicing in SAP while ensuring data accuracy and productivity.
• Coordinate with customers regarding order status, payments, deliveries, invoices, and shipping documents to ensure smooth order fulfillment.
• Communicate with warehouses to ensure correct shipments and track deliveries to guarantee on-time and safe arrival.
• Work closely with internal departments to ensure efficient and seamless order processing.
• Send invoices and prepare payable vouchers.
• Extract order-related data and investigate shipping and sales history.

2. Outsourcing & Team Management

• Manage outsourced service providers, including performance monitoring, issue resolution, and operational governance.
• Manage outsourcing team performance and KPIs.
• Develop and deliver training on operational processes, systems, and procedures to team members and outsourced service providers.
• Support team members in their professional development.
• Communicate and collaborate effectively with team members and internal/external customers.
• Attend cross-functional meetings and represent the team as required.

3. Systems, Process Improvement & Compliance

• Serve as SAP Key User, providing system expertise, user support, testing, and process improvement recommendations.
• Create and maintain SOPs, work instructions (WIs), and internal process documentation.
• Improve and optimize operational processes through continuous improvement initiatives.
• Execute operations and develop processes in compliance with company policies, regulations, and internal controls.
• Maintain and secure all required documentation to support internal and external audit requirements.
• Handle documentation and filing in accordance with company policies and guidelines.

4. Inventory & Master Data Management

• Provide backup support for Master Data Management (MDM) team activities and operations.
• Coordinate preparation activities for consignment inventory counts, communicate requirements to relevant stakeholders, and track progress to ensure timely completion.

5. Reporting, Planning & Business Support

• Prepare, analyze, and distribute operational and management reports to support business decision-making.
• Collaborate with other departments to monitor deal status and support achievement of planned monthly Order Intake and Net Sales targets.
• Monitor operational performance and contribute to achieving higher customer satisfaction.

Other:

• Support SAP trouble on SD/MM/CS fields

Minimum Requirements 最低条件

• Minimum 5 years’ working experience in customer service
• Good communication with customer and stakeholders
• Familiar with Microsoft Office and ERP (probably SAP)
• Knowledge of order to invoice
