Based in any U.S. office, the Practice Management Project Coordinator will provide administrative, project, and logistical support to the Practice Management team. This is a global role and a shared resource supporting practice managers across practice groups and offices worldwide, and the work spans the full range of practices the team covers rather than any single group or region.

This role reports to the Director of Practice Management.

Responsibilities include:

Meetings, Events, and Coordination

  •    Assist with planning and logistics for practice group meetings, events, trainings, and presentations, including event planning and preparation of presentation materials.
  •    Manage calendars of internal, practice group specific meetings and events.
  •    Coordinate meetings and materials across multiple time zones, including scheduling with participants in US, European, Middle East, and Asian offices and staging documents        in advance of calls that fall outside standard business hours.
  •    Coordinate catering, room reservations, audiovisual needs, and vendor arrangements for practice group meetings, offsites, retreats, and social events, working with local                office services teams as needed.
  •    Schedule attorney trainings and coordinate with the CLE team to secure accreditation and credit, including tracking registration, attendance, and materials.

Reporting and Data

  •    Support recurring and ad hoc reporting projects, including analyses of the firm’s financial and operational performance, including associate hours and utilization.
  •    Compile inputs from practice managers into consolidated deliverables on a set cadence, including practice management updates, practice group leadership reporting, and              business review materials.
  •    Collect, organize, and track practice specific data, including staffing, headcount, and group activity.
  •    Assist with various tracking projects, including handling internal communications, gathering information, and analysis.
  •    Maintain the accuracy of practice group rosters, distribution lists, SharePoint sites, and intranet pages.
  •    Develop, maintain, and organize practice group files, documents, and databases, ensuring easy access to key information.

Programs and Initiatives

  •    Support the practice management team’s technology and AI enablement work.
  •    Support the firm’s free market staffing model, including maintaining associate capacity and availability trackers, circulating open matter opportunities, and keeping practice              group staffing information current for practice managers.
  •    Assist practice managers with coordinating strategic initiatives, as needed by each practice group.
  •    Track progress against strategic initiatives and provide updates to practice managers to ensure alignment with goals.
  •    Support onboarding and integration for lateral hires and incoming associates, including adding them to practice group systems, rosters, distribution lists, and recurring                   meetings.

Administrative Support

  •    Provide administrative support to members of the practice management team, including expense reporting and reimbursement submissions, travel booking and itineraries,           and calendar assistance.
  •    Respond to internal inquiries in a timely manner and serve as a resource for practice management related questions.
  •    Other duties as assigned.

Qualifications:

  •    Excellent interpersonal and organizational skills; detail-oriented, proactive, and able to manage multiple priorities in a fast-paced environment.
  •    Professional and collaborative, with sound judgment and discretion in handling confidential financial, utilization, and attorney performance information; comfortable taking             direction from multiple practice managers.
  •    Strong written communication skills, with the ability to draft clear internal communications for a professional audience.
  •    Advanced Excel skills, including pivot tables and large data sets; proficient in Microsoft Office, PowerPoint, and Teams; genuine interest in applying AI tools to daily work.
  •    Flexibility to support occasional meetings and deadlines outside standard business hours across time zones.

Experience:

  •    Bachelor’s degree is required.
  •    Minimum of 2-3 years of experience in a professional services or law firm environment, ideally in administration, coordination, or project management.

The annual compensation range for this position is $95,000 - $115,000. The salary offered within this range will depend upon qualifications and other operational considerations.
