About us:

Glitch Productions is an independent animation studio based in Australia making original, long form animated shows distributed on Youtube. Our channel has over 22 million subscribers, tens of millions of views per episode and is still growing strong. Our studio is filled with incredibly talented and passionate artists that are determined to change the way animation is produced and treated in the industry. Our biggest IP; Digital Circus, has amassed over 350 million views on the pilot alone and we have a lot more still to come.

Role Information:

The Operations Manager works directly alongside the COO, acting as their right hand across scheduling, cross-team coordination, and day-to-day operational execution. This is an mid-level role suited to someone with around five years of relevant experience who is highly organised, discreet, and comfortable operating close to senior management, without needing to be a senior executive themselves. Working onsite at our Parramatta studio, you'll keep the COO's time protected and their priorities moving, while also owning operational processes that keep the wider studio running smoothly. The role partners closely with the Heads of team on cross-functional coordination; it does not have oversight of the Executive Team.

Your duties will include:

Executive support to COO

  • Own and manage the COO's calendar: scheduling and prioritising meetings, resolving conflicts, and ensuring time is allocated according to business priorities.
  • Help design the COO's meeting cadence: deciding what needs a standing sync, what can move to async, and trimming meetings that no longer serve a purpose.
  • Triage meeting requests and inbound asks for the COO's time, ensuring only what genuinely needs their attention reaches them.
  • Book and coordinate the COO's travel, including across multiple time zones.
  • Prepare the COO for meetings: agendas, briefing notes, relevant background, and follow-up actions.
  • Stand in for the COO in select internal meetings when they are unavailable, representing their priorities accurately and relaying outcomes and decisions back to them.
  • Shadow the COO across meetings and projects to build context on their priorities, then proactively pick up tasks and follow-ups to take work off their plate.
  • Track action items arising from the COO's meetings and follow up with relevant stakeholders to ensure they're completed on time.

Operations & Heads of Coordination

  • Coordinate with the Heads of team (e.g. Production, Creative, Finance, People and Culture, General Counsel) to keep cross-functional projects and deadlines on track.
  • Own one-off special projects sponsored by the COO from planning through to delivery (e.g. a new tool rollout, a process overhaul, a studio offsite).
  • Provide light-touch tracking of departmental budgets and operating spend on the COO's behalf, flagging anything off-track - without owning finance itself.
  • Partner with the Heads of team to plan and run the monthly all-hands meeting - coordinating agenda input, logistics, communications, and follow-up on action items.
  • Coordinate the company newsletter and other internal communications, keeping the studio updated on key news and announcements.
  • Maintain and improve internal operational processes, templates, and documentation.
  • Liaise with vendors, contractors, and service providers as needed for office and studio operations.
  • Prepare status updates, summaries, and reports for the COO and Heads of team as needed.

General

  • Handle confidential and sensitive information with sound judgement and discretion.
  • Take on ad hoc projects and administrative tasks as priorities shift across the business.

A successful candidate will have:

  • Around 5 years' experience in an operations, executive/business support, or business administration role.
  • Prior experience working directly with or supporting a COO, CEO or other senior executive.
  • Proven experience managing calendars and schedules for a senior leader in a fast-paced environment.
  • Confidence and professionalism to represent a senior leader in meetings and communicate on their behalf.
  • Strong organisational skills with the ability to juggle multiple priorities and follow through without heavy oversight.
  • Excellent written and verbal communication skills.
  • A proactive, “what needs to happen next” mindset - comfortable anticipating needs rather than just following instructions.
  • Discretion when handling confidential or sensitive information.
  • Experience working with Google Workspace, Slack, and Asana.
  • Experience working for a global or multinational business, including supporting or managing a senior executive's schedule and communications across multiple time zones.
  • Working understanding of P&L statements and contractual obligations, sufficient to track budgets and liaise on vendor/contractor agreements.

Bonus Skills:

  • An understanding or experience with the arts, animation, gaming, and/or ‘internet nerd’ culture.
