Be a part of our team that is passionately driven, flexible, and genuinely curious.\nWe are looking for a full-time Assistant Dispatcher.\n*This position is located onsite and is not a remote or hybrid position.\nResponsibilities / Job Description\nResponsible for influencing positive employee morale and quality customer service;\nCommunicates with the Operations Manager all service-related issues and notifies the client (via email);\nMaintain customer history files in database and file service orders;\nCultivates strong relationships with drivers and customers to reduce the stress that comes with last minute schedule changes.\nWorks closely with all departments to ensure a smooth operation\nAlter sales orders when necessary \nOrganize the of loads/coordinates with the yard employee to get their loads built. \nPay attention to inventory to ensure orders are fulfilled \nReview all of the day’s delivery orders and prioritize them in order, 1st out 2nd out AM, PM, set a plan for the day which includes what truck will accommodate each of the orders by delivery site access and load size. Assist in combining small loads together on one truck to save time and fuel. Follow the same procedures when the delivery involves a forklift.\nReview, scrutinize and coordinate all incoming delivery orders in a timely manner and disperse copies to the proper departments (Hardware and Lumber)\nContinually maintain the delivery logbook, entering all deliveries indicating the customer's name, delivery site and order number, keeping it updated as often as possible\nAssist in getting drivers' equipment as needed (i.e. straps, corners, wench bar etc.)\nContinually assign and dispatch delivery orders for drivers according to size of load and additional equipment needed in a timely manner.\nAssist in answering all incoming calls from sales and customers relating to delivery time, delivery date, additions to orders and saving of time slots for future deliveries etc.\nMaintain driver’s daily time and log sheets.\nMake sure all delivery vehicles are properly maintained and in safe working condition.\nAttend monthly Safety meeting.\nContinually refer to the Dispatch function list for other daily and weekly tasks.\nLearn computer and phone system functions necessary to do the above efficiently and accurately.\nOther tasks as assigned by the Dispatcher, General Manager.\nKnowledge, Skill, and Experience\nMinimum Education (or substitute experience required):\nHigh school diploma or equivalent;\nMinimum experience required:\nPrevious customer service and scheduling experience is a must\nKnowledge:\nKnowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.\nKnowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.\nKnowledge of principles and processes for providing customers and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.\nKnowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and negotiation, and personnel information systems.\nKnowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.\nKnowledge of relevant equipment, policies, procedures, and strategies to promote effective local, state, or national security operations for the protection of people, data, property, and institutions.\nKnowledge of laws, legal codes, court procedures, precedents, government regulations, executive orders, agency rules, and the democratic political process.\nKnowledge of principles and methods for moving people or goods by air, rail, sea, or road, including the relative costs and benefits.\n\nSkills required:\nRapid and accurate typing with experience in data entry;\nOutstanding organizational skills and multitasking abilities;\nAble to work under pressure;\nIntentional, active listener with exceptional communication skills;\nStrong character, sound judgment, a level head, and critical thinking skills.\nStrong organizational skills;\nKnowledge of the service area is a plus;\nAble to demonstrate professional phone manner;\nStrong customer service and verbal communication skills;\nExperience utilizing Microsoft Office programs, especially Outlook;\nExperience with customer service, taking inbound and making outbound calls in a high-volume call center;\nAdvanced experience using PC software programs including but not limited to Microsoft Office (Word, Excel, etc.), Google Drive,\nAble to work under pressure;\nStrong character, sound judgment, a level head, and critical thinking skills;\nAbility to handle multiple tasks simultaneously and maintain composure under pressure in a fast-paced environment while meeting deadlines;\nCommunicating effectively in writing as appropriate for the needs of the
