clear updates.\nWe are looking for someone who can manage people, solve maintenance problems, build strong systems, and keep a large number of work orders moving without losing track of details.\nKey Responsibilities\nManage the daily maintenance workflow from initial request through completion.\n\nReview, assign, prioritize, and follow up on maintenance work orders.\n\nLead and support remote Maintenance Coordinators.\n\nCoordinate with technicians, contractors, vendors, property managers, tenants, owners, and HOA teams.\n\nHandle escalated or complex maintenance concerns.\n\nReview maintenance requests and help determine the right next step before sending a vendor.\n\nMonitor emergency and urgent maintenance issues.\n\nMake sure vendors respond and complete work within expected timelines.\n\nReview vendor quotes, estimates, invoices, and scopes of work.\n\nCompare pricing and help control maintenance costs.\n\nBuild and maintain a reliable vendor network.\n\nTrack vendor performance, response time, quality, and communication.\n\nFollow up on delayed or overdue work orders.\n\nKeep maintenance records, notes, photos, estimates, and invoices organized.\n\nMake sure residents and internal teams receive regular updates.\n\nIdentify repeat maintenance problems and recommend long-term solutions.\n\nCreate and improve maintenance SOPs, workflows, and escalation procedures.\n\nTrack maintenance KPIs such as open work orders, completion time, vendor response time, aging tickets, and cost.\n\nSupport after-hours and emergency maintenance processes.\n\nWork closely with Property Management, HOA, Leasing, Finance, and Operations teams.\n\nProvide regular maintenance reports and updates to leadership.\n\nQualifications\nAt least 3–5 years of property maintenance, facilities management, property management, or maintenance coordination experience.\n\nAt least 1–2 years of leadership or team management experience.\n\nStrong understanding of residential property maintenance.\n\nExperience managing a high volume of maintenance requests or work orders.\n\nExperience working with vendors, contractors, technicians, and residents.\n\nGood understanding of common property issues involving:\nHVAC\n\nPlumbing\n\nElectrical\n\nAppliances\n\nRoofing\n\nWater leaks\n\nMold or moisture concerns\n\nGeneral repairs\n\nPreventive maintenance\n\nStrong problem-solving and decision-making skills.\n\nStrong written and spoken English.\n\nExcellent organization and follow-up skills.\n\nComfortable managing multiple urgent issues at the same time.\n\nAble to work independently in a remote environment.\n\nComfortable working during U.S. Eastern Time business hours.\n\nPreferred Experience\nExperience managing maintenance for large residential portfolios, scattered-site properties, or HOA/condo associations.\n\nExperience with property management software such as Property Meld, Buildium, AppFolio, or similar platforms.\n\nExperience using Asana, Slack, Google Workspace, or similar tools.\n\nExperience creating maintenance SOPs and workflows.\n\nExperience reviewing vendor pricing and negotiating service
