This team member will be responsible for managing the San Jose, CA office, supporting marketing event logistics, ordering marketing materials and gifts, sending and collecting event contracts, and managing vendor co-marketing activities to support regional sales & marketing objectives. The ideal candidate for this position will be positive, highly collaborative, detail oriented, and comfortable greeting customers and vendors who visit our Northern California office. The candidate must be willing to learn while supporting a dynamic, fast-paced organization.\nRoles and Responsibilities:\nOversee day-to-day operations, including coordinating third-party vendors, liaising with building landlords, ordering supplies and restocking food and beverages\nSupport the scheduling and execution of internal and vendor meetings, serving as the primary liaison to ensure a seamless experience for all participants\nAssist regional marketing team members with the creation, distribution, and collection of event contracts, ensuring all deliverables are completed on time\nResearch, purchase and manage marketing giveaways, fact sheets, brochures, etc.; maintain inventory levels and coordinate shipping logistics\nCollaborate with the team to promote events by creating social media graphics, postcards, and flyers using Canva or in partnership with the GPS design team\nCoordinate and create pop-up banners or event materials with the regional leads and design team\nMaintain registration lists and the event calendar; provide timely updates to the team on office activities and upcoming events\nProvide administrative support to marketing team as needed\nProvide onsite support for events when needed\nCoordinate, collaborate, build, develop, and maintain relationships with vendors as it relates to events and office activities\nDraft and send post-event follow-up communications to attendees, including thank-you messages and relevant resources\nOther related duties as needed\nAdhere to GuidePoint Security Core Values\nRequired Experience:\n1-2 years experience working in event marketing in a corporate environment\nMarketo, Eventbrite, or related marketing platform experience preferred but not required\nComputer skills including a solid understanding of Microsoft Office products, Gmail and Google Cloud\nAbility to work in a fast-paced environment\nSelf-motivated, self-starter with a track record for leading events and the campaigns associated with them\nResourcefulness with a strong ability to problem solve\nStrong verbal and written communication skills\nExcellent people and relationship-building skills to interact with colleagues, regional teams, and vendor partners\nExtremely detail oriented and results driven\nPreferred Experience and Education:\nBachelor's Degree preferred\nExperience with Salesforce or other CRM software\nOffice & Travel Requirements:\nThis role requires working in an office setting 3-4 days a week.
