Hatch is currently seeking a highly motivated Document Controller to join our Project Delivery Group (PDG) in Gurugram/ Gurgaon - India\nAs the successful candidate, you will:\nBe responsible for quality checking, registering, classifying, managing, tracking, filing and transmitting electronic engineering and vendor/contractor deliverables and other project controlled documents as required by the project.\nBe responsible for ensuring the current approved revisions of controlled documents are available to the project in the EDMS and providing accurate meta-data for document status reporting.\nUnder direction of the lead document controller, you are responsible for executing the documentation handover when, and as agreed with the client.\nProject Procedures-\nProcess documents in compliance with company and project procedures to meet DM standards.\nDocument Control Processes-\nDocument controllers are responsible for understanding:\nThe various project phases and the deliverables produced\nThe document control processes and the relationship with other project groups\nThe different types of deliverables, controlled and uncontrolled documents and how to classify them in the EDMS\nThe procurement bidding cycle and supporting document control processes\nThe engineering design cycle processing requirements and the vendor/contract submission cycle and processing requirements\nThe commissioning and construction phases including field mark-ups and document control involvement\nThe document control quality check requirement for documents being processed.\nThe EDMS and Document Control Tasks\nDocument controllers must have a thorough working knowledge of the EDMS functionality and all associated document control tools. They are responsible for using the tools to process documents in compliance with standards. They are also responsible for:\nAssisting in setting up distribution matrices in the EDMS. \nAllocating deliverable document numbers as required\nUploading engineering/ vendor /contractor deliverable stubs/placeholders in the EDMS\nRegistering and classifying deliverables and other documents as required in the EDMS\nManaging versions and revisions in the EDMS\nTransmitting deliverables and other documents as instructed by project leads \nProviding reports from the EDMS such as the engineering status and vendor/contractor document submission status, engineering progress measurement, review cycles and assisting in expediting internal reviews \nManaging the transmitting, receiving and distributing of documents to external users \nAuditing meta-data in the EDMS to ensure accurate reporting available\nEnsuring the 24-hour turnaround of requests into document control\nParticipating in other project document control initiatives and data management tasks \nAssisting with the final handover of documentation \nParticipate in EDMS close-out activities if required\nUpload/capture data on Client’s EDMS if required\nDocument Management and Document Control Support.\nDocument controllers are responsible for supporting the project by:\nProviding document management support to project participants including support to external users (bidders, vendors, contractors, consultants and client)\nResponding to queries (internally and externally) in a timely and professional manner\nIdentifying and escalating issues to the lead document controller\nAssisting the lead document controller in training other document controllers as required.\nYou bring to the role:\nA relevant bachelors or diploma from a recognized college \nExperience of 3 years+ in Document management and control\nPrevious document control experience in an engineering project environment (including Vendor/Contractor documentation) or data management environment using an electronic document management system\nWorking knowledge in Microsoft Office Applications, Adobe Acrobat, file management tools e.g. Explorer and WinZip and demonstrated ability to learn other software tools \nAbility to accurately and efficiently capture meta-data\nAbility to follow workflows and standards\nExperience in working within a team with ability and willingness to share knowledge\nProven communication/interpersonal skills to build relationships with the immediate and remote team members.\nAbility to document work tasks (work instructions)\nAbility to train one-on-one or train a team\nGood communication in English and interpersonal skills \nWhy join us?\nWork with great people to make a difference\nCollaborate on exciting projects to develop innovative solutions\nTop employer\nWhat we offer you?\nFlexible work environment\nLong term career development\nThink globally, work locally\nDon't meet every single requirement?
