This role is responsible for project organization, tracking, documentation, and communication, ensuring that work stays aligned to scope, schedule, and process.\nIn a fast-paced software environment, the Project Coordinator plays a critical role in keeping projects running smoothly by maintaining project artifacts, monitoring risks and issues, coordinating meetings, and ensuring accurate, timely information flows between internal teams and customers.\nThis role is ideal for someone early in their project management career who is highly organized, detail-oriented, and eager to grow within a technology-driven organization.\nKey Responsibilities:\nProject Coordination & Tracking\nMaintain and update project schedules, task lists, and milestones in project management tools \nTrack and update RAID logs (Risks, Actions, Issues, Decisions) \nMonitor progress against plan and flag risks, dependencies, and delays to the Project Manager \nSupport tracking of change requests, scope updates, and project decisions \nDocumentation & Reporting\nMaintain accurate, up-to-date project documentation and artifacts in designated repositories \nPrepare weekly project status reports and dashboards for internal and customer stakeholders \nCapture meeting notes, action items, and decisions; follow up to ensure closure \nEnsure project records follow established standards and frameworks \nMeeting & Communication Support\nCoordinate and support internal and external project meetings \nPrepare agendas, materials, and presentations for project forums \nDistribute meeting minutes and action items in a timely manner \nServe as a communication bridge between Project Managers, delivery teams, and stakeholders \nAdministrative & Operational Support\nTrack team time, allocations, and PTO as needed for project planning \nSupport budget tracking and basic financial reporting \nMonitor tickets, defects, and issues in systems such as Jira or ServiceNow \nAssist with SharePoint or project site setup and ongoing maintenance \nProcess & Continuous Improvement\nEnsure projects adhere to defined delivery methodologies and governance standards \nIdentify opportunities to improve project coordination, reporting, and execution efficiency \nSupport audits, readiness reviews, and operational checkpoints as required \nQualifications & Experience:\nRequired\n1-3 years of experience in project coordination, operations, or a related role \nStrong organizational skills with exceptional attention to detail \nAbility to manage multiple tasks and priorities in a deadline-driven environment \nClear written and verbal communication skills \nComfort working with cross-functional teams in a software or technology setting \nPreferred\nExperience in a SaaS, software, or professional services organization \nFamiliarity with project and collaboration tools such as Smartsheet, Jira, Salesforce, SharePoint, or similar \nExposure to Agile or hybrid delivery environments \nBachelor’s degree or equivalent professional experience \nCAPM from PMI or equivalent certification \nKey Competencies\nOrganization and follow-through \nStakeholder communication \nRisk and issue awareness \nTool proficiency and data accuracy \nProfessional judgment and discretion \nContinuous improvement mindset \nCareer Growth\nThis role provides a strong foundation for progression into:\nAssociate Project Manager \nProject Manager \nProgram or Delivery Operations roles \nThe Project Coordinator gains hands-on exposure to real project delivery, customer interaction, and enterprise software operations. \nGeographic Responsibility: Remote, US\nType of Employment: Full-time, permanent\nFLSA Classification (USA Only):Non-Exempt\nWork Environment: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job:\nThe employee is occasionally required to move around the office. This salary range may cover multiple career levels at HealthEdge.
