POSITION SUMMARY:

The Assistant Director of Admission at Harvey Mudd College, under the supervision and guidance of the Associate Director of Admission/Events Team Lead, will play an active and integral role in a wide variety of activities within the Office of Admission. This role requires full engagement in the entire admissions process, from interacting with prospective students to the final stages of enrollment.

The Assistant Director of Admission will be a key member of the Events Team, with a specific focus on coordinating the College's Admitted Student Program (ASP) and WISTEM Open House. They will be an essential part of the team that enrolls a class that aligns with Harvey Mudd College’s mission to educate leaders in science, technology, engineering, and mathematics, with a deep understanding of the impact of their work on society. This role requires flexibility and adaptability to meet the dynamic needs of the Office of Admission.

DUTIES AND RESPONSIBILITIES:

  • Coordinate the execution of the Office of Admission’s events, including working collaboratively with campus partners, external vendors, and coordinating with colleagues within the office. Provide strategic leadership for the planning, coordination, and execution of the Admitted Student Program (ASP), the College’s largest yield event, and the WISTEM Open House.

  • Create and execute a cohesive communication flow for Office of Admission’s events, including the enhancement of the “Connect” section of the Office of Admission website in consultation with the Communications Team Lead.

  • Serve as an integral member of the Admission team responsible for recruiting and enrolling students who fulfill the College’s mission.

  • Support the mission of the Office of Admission in growing the diversity within the applicant pool and enrolling class. Contribute to strategies and programming designed to meet this objective.

  • Learn the College’s mission and ethos. Keep current with the College’s academic programs, support services, and co-curricular offerings.

  • Represent the college and build relationships with prospective students, their families, high school counselors, and community members. This includes interviewing prospective students and some off-campus recruitment travel.

  • Evaluate applications for admission in a timely manner and participate fully in the committee-based selection process of candidates for admission.

  • Develop fluency in office tools and procedures, especially Techolution’s Slate CRM and WordPress.

  • Practice discretion and maintain confidentiality of records, correspondence, and information, regardless of the format.

  • Maintain focus on several activities and priorities. Anticipate seasonal variations in the workload.

  • Perform other duties and responsibilities as assigned.

REQUIRED QUALIFICATIONS

Education and Experience:

  • Bachelor’s degree required

  • Possess and maintain a valid driver’s license and driving record acceptable to the College’s automobile insurance carrier.

  • 3 or more years of previous professional experience in college admissions or related environments is required.

Knowledge, Skills, and Abilities:

  • Demonstrates understanding of and appreciation for the value of a liberal arts education and Harvey Mudd College’s mission “to educate engineers, scientists and mathematicians well versed in all of these areas and in the humanities, social sciences and the arts so that they may assume leadership in their fields with a clear understanding of the impact of their work on society.”

  • Ability to work flexibly and maintain productivity while working with competing priorities.

  • Ability to build rapport and work cooperatively with individuals from varying abilities, backgrounds, interests, beliefs, and roles (students, staff, faculty, etc.).

  • Ability to conceptualize, design, develop and implement projects that speak to a wide constituency or a tailored audience when appropriate.

  • Ability to thrive in a collaborative team environment or work independently in a college office setting and with the public.

  • Exercises sound judgment in confidential or sensitive situations.

  • Ability to recognize patterns, anticipate problems, and recommend solutions.

  • Ability to utilize technology easily and effectively to enhance productivity and to assess progress toward office goals.

  • Strong presentation skills in disseminating information cohesively to a broad range of audiences.

  • Strong work ethic, personal integrity, and a sense of humor are extremely valuable.

  • Proficient in the operation of a computer, data entry, and specified software including Microsoft Office (Outlook, Word, Excel, Powerpoint etc.) and G Suite (Google Drive, Docs, Sheets, Calendar, Slides etc.). Proficiency in design tools like WordPress and Canva, and project management tools like Trello is a plus.

  • Willing and able to travel (up to two weeks at a time, seasonal) and work weekend and evening hours as needed.

Preferred Qualifications:

  • Experience that has resulted in an understanding and appreciation of highly selective admission is appealing but not required.

  • Experience with Technolutions’ Slate CRM is a plus.

Remote Work Eligibility:

Category B:

All staff positions, regardless of remote work eligibility, require an initial 30-calendar-day on-campus work period. Based on an evaluation by the supervisor and area Vice President, this position is classified as Category B as defined in the College’s Remote Work Policy, with occasional ad-hoc remote work flexibility (as needed). Your approved remote work arrangements under Category B allow for up to 2 remote work days per week during the academic year and up to 3 remote work days during the non-academic year. Please note these days may vary depending on departmental and College needs.

Standard work hours will generally be from 8:00 a.m. to 5:00 p.m., Monday through Friday, though these hours may vary depending on departmental and College needs. All remote work arrangements, including ad-hoc remote work, must be approved by the direct supervisor, area Cabinet member, and Human Resources, and are subject to periodic review based on institutional needs. These arrangements are neither guaranteed nor considered entitlements and may change due to factors such as employee performance, evolving business needs, or changes to the position.

Physical Requirements:

While performing the duties of this job, the staff member is regularly required to sit; stand, use hands and fingers and talk or hear. The employee is occasionally required to reach with hands and arms. The individual must regularly lift and/or carry up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Hours:

Regular office hours are 8:00 a.m. to 5:00 p.m. However, days and hours may vary due to the needs of the department or the College.
