Daily onsite presence is required.\nPrincipal Accountabilities:\nAssists project managers with letters, purchase orders, subcontracts, bids, proposals, transmittals, permit/inspection requests, pre-qualifications, bonds, licensing, start-up manuals, copying, scanning, phone calls and e-mails. \nAssist project managers with project set up and close out including assigning job numbers, certificate of insurance requests, determine submittals and O&M requirements and fill out submittal schedule to start submittal process.\nVerify & approve invoices from vendors for project managers.\nProcess & email invoices for project managers.\nAssist with payroll entry weekly.\nComposes and edits letters, memos, reports, procedures, etc. often from rough drafts ensuring correct grammar, punctuation and spelling.\nRun open subcontract/purchase order reports & distribute to project managers.\nAssist in keeping prints up-to-date.\nProcures and returns plans for bid as directed.\nAssist with educating co-workers on best practices and processes.\nPerforms other duties assigned by supervisor and project managers.\nLeverage approved AI-powered tools and technologies to streamline workflows, support data analysis, and enhance decision-making within the accounting function\nRequirements\nKnowledge, Skills and Abilities Required:\nPreferred 2-year associate’s degree in business.\nMinimum of 5 years prior administrative experience.\nMust be highly organized with the ability to manage multiple priorities, maintain accurate records, and meet deadlines in a fast-paced construction project environment.\nStrong written and oral communication skills required. Attention to details and ability to problem solve.\nProficient with Excel and Word; requires good word processing skills and accuracy.\nRequires a comprehensive understanding of the Company’s organizational structure and mechanical terminology.\nRequires courteous, professional and diplomatic behavior when interacting with internal and external contacts.\nDescription of physical working environment:\nNormal office environment. Routinely works from a sitting position with a computer. Repetitive typing and computer use required.
