Looking for Filipino (Philippines-based) candidates

Job Role: Client Services and Executive Support Coordinator

Compensation range: $1500 - $2000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time and You’ll work with your manager to balance your schedule with customer and business needs.

Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency.

Who The Client Is: We are an Australian business that provides independent support to builders, tradespeople and site supervisors applying for licences and registrations across all Australian states and territories. Because each state has different licensing requirements, we help clients understand what they need, identify any gaps, prepare their documentation and get their applications ready for lodgement. We are growing rapidly to meet the increasing demand for licensing support across Australia.

We also assist with their certification and qualification needs and work with various RTOs.

Role Overview: You'll help customers understand what they need to do, keep applications moving, and provide practical administrative support to the Head of CSO.

This role suits someone who enjoys speaking with customers and likes careful, organised work. You'll make calls, send texts and emails, check applications, update records, manage follow-ups and help with scheduling and reporting.

You'll receive training in services and procedures. Once you've demonstrated competency, you'll be able to answer routine licensing and technical questions within your approved authority.

Key Responsibilities:

Customer service

  • Make and receive customer calls
  • Send clear emails, texts and follow-ups
  • Explain next steps and help customers use the clients portal
  • Answer routine questions within your completed training
  • Record contacts, promises and next actions

Applications and cases

  • Complete and check applications against clients requirements
  • Identify missing, expired, unclear or incorrectly supplied information
  • Request corrections and track outstanding items
  • Keep case status, notes and ownership current
  • Provide trained licensing and technical guidance within approved authority
  • Co-ordinate monthly classes
  • Migrate data from internal portal to externals (Portal, PDF)

Executive and business support

  • Manage agreed scheduling and calendar updates
  • Arrange meetings and prepare simple agendas or notes
  • Track follow-ups and remind people before due dates
  • Update routine reports and management information
  • Prepare drafts, lists and administrative follow-up for the Head of CSO

Team and process support

  • Use approved checklists, templates and systems
  • Flag recurring customer problems or unclear processes
  • Keep shared records and task lists current
  • Help test and document improved workflows
  • Support other approved administrative work when priorities allow

Required Skills and Qualifications:

Communication

  • Clear spoken English
  • Professional written English
  • Confidence speaking with Australian customers
  • Patience when information is incomplete

Organisation and judgement

  • Careful document checking
  • Strong calendar and follow-up habits
  • Ability to learn rules and apply them consistently
  • Willingness to ask when unsure

Work Arrangement & Expectations:

This is a remote role that will be set up as an independent contractor engagement.

To ensure alignment and transparency, successful candidates will be expected to:

  • Be available for meetings and collaboration during core AEST business hours
  • Disclose any existing ongoing roles or client work
