This role is ideal for someone with experience in contract administration, legal operations, procurement operations, shared services, business systems or document management who wants to build expertise in legal technology and lifecycle management. You will gain exposure to a global legal team, cross-border contracting processes, CLM system administration, reporting, process improvement and stakeholder management across multiple functions. Prior experience with CLM tools such as Apttus/Salesforce is helpful but not essential.\nThis position will be based in Kuala Lumpur, Malaysia.\nAs a Contract Management System Coordinator, you will:\nCLM System Management\nCreate, update and maintain contract records in the CLM system.\nHelp route contracts through the correct approval workflows and monitor contract status.\nSupport user access requests, workflow updates and basis system administration tasks.\nAssist with system testing, template updates and data clean-up initiatives.\nProvide user support and training.\nContract Records, Templates and Reporting\nMaintain accurate contract information, metadata and supporting documents in the CLM system.\nSupport the maintenance of contract templates, clause libraries and playbooks.\nGenerate regular reports and dashboards for Legal, Finance, Internal Audit and business stakeholders.\nHelp track contract KPIs, upcoming milestones, obligations and compliance-related data.\nUser Support and Cross-Functional Coordination\nAct as a key point of contact for CLM related queries from users across different regions.\nCoordinate with Legal, Purchasing, Finance, Internal Audit and business teams to support contract-related processes.\nManage, coordinate and liaise with the external CLM vendor for Apttus on troubleshooting queries, system updates/upgrades and follow-up actions.\nSupport user training materials, FAQs and simple process guides.\nProcess Improvement and Compliance Support\nAssist with initiatives to improve contract workflows, reporting, data quality and user experience.\nHelp identify recurring system or process issues and suggest practical improvements.\nSupport audit preparation, internal reviews and compliance reporting by retrieving contract data and documentation.\nWork with Legal and other stakeholders to help ensure templates and processes are aligned with internal policies.\nParticipate in CLM enhancement projects, automation initiatives and standardization efforts.\nWhat skills and experiences are we looking for?\nEducation: Diploma or degree in law, business administration, information systems, IT system management, records management, procurement, finance, operations or a related field.\nExperience: Ideally at least 2 years’ experience in contract administration, legal operations, procurement operations, sales operations, compliance support, shared services or business administration. Prior experience with CLM systems is preferred, but candidates with strong systems aptitude and experience using contract repositories, workflow tools, e-signature platforms, procurement systems, CRM systems or document management systems will also be considered.\nSkills: Proficiency in MS Office Suite, excellent organizational and communication skills (both written and verbal), attention to detail, and the ability to multitask. Familiarity with CLM tools such as Salesforce, Agiloft, SAP Ariba, DocuSign, SharePoint and e-signature tools is preferred.\nLanguage: Proficiency in English. Additional language skills are a plus.\nAttributes: Strong organizational and coordination skills. Excellent communication and stakeholder management. Strict attention to detail. Analytical mindset with ability to interpret data and generate reports. Integrity, confidentiality and professional judgement. Proactive problem-solving and process improvement orientation.
