Handle front-desk operations, manage visitor logs, and print/issue employee and guest access badges.\n\nWorkspace & Facilities Operations: Manage the daily office environment in Berlin to ensure a comfortable, safe, and productive space. Proactively monitor and replenish office supplies, snacks, and equipment.\n\nMeeting & Event Management: Plan and organize internal company events, all-hands meetings, and guest visits. Prepare conference rooms (AV/catering) and negotiate cost-effective terms with external suppliers.\n\nProactive Workplace Improvements: Continuously identify opportunities to enhance employee satisfaction and office efficiency, collaborating closely with the local HR Generalist, and take full ownership over the implementation of solutions.\n\nDigital & Physical Mail Management: Receive, carefully document, and distribute incoming physical mail and packages. Manage digital mail workflows and forward inquiries to the correct internal departments efficiently.\n\nVendor & Partner Relations: Liaise with vendors, external service providers, and local authorities to handle facility inquiries, post office logistics, and optimized mail processing workflows.\n\nInvoice & Financial Processing: Process invoices for various goods and workplace services with high attention to detail, ensuring compliance with company guidelines and accurate record-keeping.\n\nReporting & Visibility: Prepare regular reports and evaluations on office usage, supply metrics, and ongoing workplace projects to keep team progress transparent.\n\nWhat You'll Bring:\nFluent in both German and English.\n\nStrong organizational skills with the ability to handle multiple tasks simultaneously and prioritize effectively.\n\nPrior experience in office management, hospitality, or a fast-paced tech/start-up environment is a strong plus.\n\nExcellent communication and interpersonal skills to collaborate with colleagues and external partners.\n\nStrong attention to detail with a focus on accuracy in mail handling and invoice processing.\n\nA proactive mindset with resourceful problem-solving abilities.\n\nProficiency with digital communication tools and office software (e.g., google Mail, Slack, jira).\n\nIdeally, initial experience in office administration, or a related field (not strictly required).\n\nFull willingness and commitment to work 5 days a week on-site from our Berlin office, ensuring a seamless front-of-house experience and daily operational support for the team.\n\nApplication Process\nTA Screening interview\n\nCulture fit interview\n\nPeer interview\n\nFinal interview\n\nWorking at ICEYE\nAt ICEYE, you’ll join a diverse and highly engaged team united by the ambition to make the impossible possible.
