Employees also enjoy a pet-friendly studio, an onsite gym, and regular social events that bring teams together both virtually and in person. \nJob Overview\nAs a Junior Production Coordinator, you will support the Producer, Production Manager, and department Supervisors in coordinating the day-to-day activities of an animated television production. You will help maintain schedules, track artist progress in Flow, coordinate meetings and Dailies sessions, and ensure production information and client notes are communicated accurately and efficiently. This role is ideal for an organized, proactive individual who thrives in a fast-paced creative environment and is eager to develop their knowledge of animation production workflows.\nKey Responsibilities\nAssist the Producer and Production Manager with maintaining departmental schedules, tracking progress, and coordinating day-to-day production activities.\n\nUpdate and maintain accurate production information in Flow, including artist assignments, task progress, deadlines, and relevant notes.\n\nCommunicate with department Supervisors and artists to confirm task status, identify potential delays, and keep production information current.\n\nHelp track deadlines and coordinate client deliveries in accordance with established production processes.\n\nEnter, organize, and distribute client notes accurately and promptly, ensuring artists are aware of priorities and required changes.\n\nFollow up with artists and Supervisors to monitor progress and support on-time task completion.\n\nSchedule and coordinate meetings, reviews, and Dailies sessions, ensuring the necessary materials and participants are prepared.\n\nTake clear, detailed meeting and review notes and distribute them to the appropriate team members.\n\nMaintain production calendars and help coordinate schedules for key personnel, identifying potential conflicts and upcoming priorities.\n\nRespond to routine production questions and requests, escalating issues to the Producer or Production Manager as needed.\n\nSupport Supervisors with production documentation, team guides, and other administrative tasks.\n\nCommunicate professionally and collaboratively across departments to ensure information is shared efficiently.\n\nLearn and develop an understanding of the animation production pipeline, departmental workflows, and studio processes.\n\nContribute to a positive, organized, and supportive production environment while taking on new responsibilities as needed.\n\nSkills and Experience\nPrevious experience in an administrative, coordination, or project support role; experience in animation, VFX, or a creative production environment is an asset.\n\nFamiliarity with production tracking software such as Flow, ShotGrid (Shotgun), or similar tools is an asset.\n\nStrong organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.\n\nExcellent written and verbal communication skills, with the ability to share information clearly and professionally.\n\nComfortable with administrative responsibilities, including scheduling, note-taking, email correspondence, and tracking deliverables.\n\nProficiency with Google Workspace tools, including Docs, Sheets, and Calendar, and collaboration platforms such as Slack and Zoom.\n\nStrong attention to detail and commitment to maintaining accurate production records.\n\nProactive approach to following up on tasks, identifying missing information, and asking questions when needed.\n\nAbility to adapt to changing priorities and remain composed in a fast-paced environment.\n\nA collaborative mindset and willingness to learn new tools, workflows, and production processes\n\nPerks & Benefits\nExtended healthcare benefits, including health, dental, vision, prescription drug, and paramedical coverage\nPaid pre-approved overtime\nFlex days to support work-life balance\nMilestone days recognizing years of service\nPet-friendly studio environment\nAccess to an onsite gym\nStudio events and opportunities to connect with teammates both virtually and in person\nThis is a Union position and the terms and conditions of employment are covered by a collective agreement.\n--\nIn accordance with British Columbia's pay transparency legislation, the wage displayed reflects the minimum rate established under ICON's collective agreement.
