Senior Project Manager

We are seeking a detail-oriented and organized Project Manager to oversee the execution of our marketing department's technical and creative workflows. In this role, you will be ensuring seamless collaboration between SEO specialists, technical writers, designers, web developers, our CRM team, and outsource agents.

Working closely with our QA Specialist, you will ensure that all projects meet quality standards and are delivered on schedule.

You will serve as the central hub coordinating multiple moving parts, from initial planning and resource allocation through final QA sign-off and project delivery.

Key Responsibilities:

• Workflow Management: Oversee and coordinate end-to-end technical and creative project workflows across the marketing department
• Cross-Functional Coordination: Facilitate communication and collaboration between SEO, technical writing, design, web development, and CRM teams
• Project Planning & Execution: Develop project timelines, milestones, and deliverables; track progress and adjust timelines as needed
• Resource Allocation: Manage team capacity and assign resources effectively across multiple concurrent projects
• CRM Integration: Coordinate with the CRM team on data workflows, system updates, and ensure marketing initiatives are properly integrated with Zoho CRM
• Quality Assurance: Work closely with the QA Specialist to establish testing protocols, review quality checkpoints, and ensure all deliverables meet standards before launch
• Design Review & Feedback: Review design files in Figma/other, and facilitate feedback loops between creative and development teams
• Documentation: Maintain comprehensive project documentation, timelines, and status reports
• Stakeholder Communication: Provide regular updates to leadership on project status, risks, and blockers
• Process Improvement: Identify inefficiencies in workflows and recommend improvements to enhance team productivity

Required Qualifications & Skills:

Professional Experience

• Minimum 5 yrs. project management experience in a marketing, technology, or agency environment

• Proven experience coordinating cross-functional teams

• Demonstrated experience managing projects with both creative and technical components

Technical Skills & Tools

• Project Management Software: Hands-on experience with Jira and Trello, + any of the following:

  • Asana

  • Monday.com

  • ClickUp

  • Smartsheet

  • Wrike

• Zoho CRM: Familiarity with workflows, data management, and integration processes

• Figma Familiarity: Ability to review design files, provide feedback, and understand design-to-development handoff

• Proficiency with Google Workspace (slides, sheets, docs, drive, calendar, etc.)

• Comfortable with project tracking, spreadsheets, and status reporting tools

Ideal Qualifications:

• Experience with marketing automation
• Comfortable with utilizing AI within your role
• Knowledge of web development/design workflows
• PMP, CAPM, or other project management certification a plus
• Familiarity/experience with agile or scrum methodologies
• Background in marketing, digital strategy, or technology
• Experience working with QA teams or testing protocols
