This role acts as the primary owner of event and selected short exchange program delivery, attending to student needs, coordinating stakeholders, managing timelines, and ensuring all components are aligned for successful implementation.\nThe Coordinator works most closely with the following teammates to align vision and objectives for each project:\nAssociate Director: key Dual Degree student events (typically 6 per academic year (AY), for 50-70 students per event) and incoming short exchanges (4 per AY, 30-50 students per exchange week)\nJunior Manager: incoming exchange student Welcome Days (2 per AY, for 20-80 students per event)\nExecutive Director: student honors ceremonies (3 per AY for 100-200 students each) and community-building social events (4 per AY with capacities ranging from 50 students to 650 students)\nThe activities and projects on which the CPX Coordinator will work are as follows:\n1. Event Delivery to Different Groups of Students (Front Office)\nDeliver to different student audiences key CPX events/initiatives that form part of the student journey \nConduct post-event feedback and follow-up with students and propose improvements and innovation\n2. Short Exchange Programs (Front Office)\nCoordinate and deliver 4 incoming academic short exchange (week-long) programs to a total of approximately 120-200 students\nServe as coordination point with partner schools, faculty, and student participants\nLead delivery and post-program evaluation\n3. Additional Responsibilities (Front Office)\nFirst line of response to general student queries about Dual Degrees, international exchanges, and other CPX initiatives\nGuide students in specific Dual Degree processes, in conjunction with the Associate Director\nMaintain and update student guides and documentation\n4. AI-First Process Innovation (Back Office benefitting Front Office)\nPropose practical, efficiency-driven improvements that will ultimately benefit the student experience\nIdentify opportunities to streamline workflows using AI tools\nUse AI to support communications, documentation, and feedback analysis\nKey Performance Indicators (KPIs)\nEvent Delivery: On-time delivery (at least 95%), minimum student satisfaction score of 4,0/5,0\nShort Exchange Programs: 100% delivery success, minimum student satisfaction score of 4,0/5,0\nCoordination: Stakeholder alignment, low escalation rate, resulting positive qualitative student feedback\nAI Innovation: Measurable automation, time saved that can be dedicated to students, and adoption of innovation (estimated reallocation of time as a result of AI innovations: 10%+)\nQualifications\nTo thrive in this role, you should possess the following qualifications:\nBachelor's Degree, Master's degree from a top university preferred.\nFluency in English and Spanish required (frequent interactions with students, external providers, partner schools, and occasional presentations are required).\nMinimum 3-5 years of work experience preferred, involving project coordination and client-/student-facing tasks; project management qualifications and experience are a plus.\nHigh level of Office (especially Excel) proficiency required.\nFamiliarity with different AI tools, including Copilot.\nProficiency in project management, stakeholder management and previous experience with event planning & delivery.\nCandidates must possess a valid EU work permit. \nUnleash your full potential and make an impact.
