About the Role

This role provides back-office operations and coordination support for AI field enablement, working with AI Field Enablement and AI Demand Generation. It owns the execution behind the enablement programme: the content library, the session calendar, the materials, and the tracking that keeps everything moving.

Strategy, messaging, and curriculum direction sit with AI Field Enablement and AI Demand Generation. This role turns that direction into scheduled, prepared, delivered, and recorded work. It pairs with the Demand Generation Operations Coordinator, and the two cover for each other during absence.

Coverage and Working Hours

The sales audience for enablement spans North America and APJMEA, so this role is expected to provide coverage across both regions. Sessions, launches, and escalations will fall outside standard Sri Lanka business hours on a regular basis.

A flexible working pattern is a firm requirement, not an occasional exception. Early starts to overlap with European mornings and late afternoons or evenings to overlap with North American hours should both be expected, with the specific pattern agreed in advance and balanced across the week so the total load stays sustainable.

Key Responsibilities

Enablement content administration

• Maintain the enablement content library: file structure, naming, permissions, version control, and retirement of superseded material.
• Collect drafts from subject matter experts or AI Field Enablement Lead, format them to the agreed template, and route them for review and sign-off.
• Apply updates to guides, decks, and onboarding material when products or messaging change, and publish the current version to the right place.
• Maintain a content inventory covering what exists, its review date, and usage, and flag gaps and stale items for direction.
• Keep regional variations aligned so North American and European audiences work from the same current material.

Session and event operations

• Run the enablement calendar end to end: scheduling across regions, invitations, platform setup, reminders, and presenter logistics.
• Curate materials ahead of each session - decks, pre-reads, exercises, and attendee lists - to the presenter's brief.
• Provide live in-session support in both North American and APJMEA sessions: timekeeping, chat and question capture, recording, and technical troubleshooting.
• Handle all follow-up: distribute recordings and notes, log attendance and completion, issue feedback surveys, and summarize the results.
• Coordinate repeat sessions so each region receives the same content at a workable local time.

Programme administration and reporting

• Maintain enablement plans created by AI Field Enablement lead, timelines, and trackers, and keep them accurate week to week.
• Run the administrative side of the operating cadence: agendas, minutes, action logs, and chasing owners to close items on time.
• Track enablement participation, completion, and feedback in HubSpot and the reporting tools, keeping the underlying records clean.
• Produce recurring enablement reporting to an agreed specification and assemble the packs the Head of AI Field Enablement and AI Demand Generation presents.
• Maintain the risk, issue, and decision logs for enablement programmes, and escalate delays early.

First-Year Success Measures

• First 90 days: the content library inventoried and organized, the enablement calendar administered across both regions without prompting, and a working coverage pattern established.
• Six months: sessions run smoothly end to end in both regions, materials ready ahead of time, and participation and feedback reporting produced on schedule without rework.
• Twelve months: a current and well-organized content library, enablement activity consistently delivered on time with minimal supervision, and reliable cover for demand generation operations during absence.

Ways of Working

The role works directly to the Head of AI Field Enablement and AI Demand Generation, taking direction on priorities and owning the execution behind them. It is a support role with no direct reports, based in Sri Lanka.

It works in close partnership with the Demand Generation Operations Coordinator. The two roles share standards, tooling, and reporting rhythm, and each is expected to provide cover for the other during absence or peak load.

• Two or more years in project coordination, PMO support, enablement operations, or a comparable business support role.
• Track record of keeping plans, trackers, and recurring reporting accurate and on schedule across multiple stakeholders.
• Strong document and content administration skills, including version control and structured file management.
• Confident supporting live sessions and events, including virtual meeting logistics and technical setup.
• Willingness and availability to work a flexible schedule covering North American and European hours.
• Working comfort in a CRM or marketing automation platform for participation tracking and reporting.
• Strong written English and the habit of documenting decisions, actions, and status clearly.
• A degree in business, marketing, information technology, or equivalent practical experience.
• Experience supporting a sales enablement, learning, or training function.
• Hands-on HubSpot experience, particularly with lists and reporting.
• Familiarity with Microsoft 365, SharePoint, and Power BI or comparable reporting tools.
• Working knowledge of AI and automation tools, and an interest in using them to reduce manual operational effort.
• Prior experience working to a distributed team across multiple time zones.
