The post holder will support global logistics operations through accurate administration, shipment coordination, inventory management, compliance monitoring and customer communication.\nThe successful candidate will contribute to the delivery of Indigo's logistics services by ensuring shipments are processed efficiently, stock records are maintained accurately, regulatory requirements are met and customer expectations are exceeded, and at times will be required to take on any additional duties which may be considered within the remit of the role. This position is based at the Indigo headquarters in Magor, South Wales and occasional travel may be required.\nLogistics Operations\nCoordinate inbound and outbound shipments across domestic and international locations.\nMonitor and manage shipment progress from collection through to final delivery.\nLiaise with freight forwarders, couriers, warehouse providers and suppliers to ensure timely service delivery.\nManage and prioritise the logistics shared mailbox and customer enquiries.\nSupport inventory management activities including goods receipt, stock transfers, stock adjustments and stock investigation requests.\nMonitor minimum stock levels and escalate shortages where appropriate.\nCoordinate customer repair cycles and returns processes.\nSupport the storage, calibration and distribution of company tooling, PPE and engineering assets.\nEnsure logistics records are maintained accurately and in accordance with company procedures. \nExport & Trade Compliance\nPrepare and review export documentation including commercial invoices, packing lists, certificates of origin and transport documentation.\nAssist with import and export customs declarations and customs clearance activities.\nVerify commodity codes, country of origin information and applicable customs requirements.\nSupport compliance with UK and international import/export regulations.\nMaintain records relating to export controls, licences and proof of export.\nLiaise with Importers of Record (IOR), Exporters of Record (EOR), customs brokers and freight partners as required.\nSupport the management of export licences and trade compliance documentation.\nMonitor regulatory changes and escalate requirements that may impact logistics operations.\nAssist with customs duty, VAT and trade documentation enquiries.\nEnsure all shipment records are retained in accordance with company compliance requirements.\nCustomer & Supplier Management\nBuild and maintain professional relationships with customers, suppliers and logistics partners.\nProvide shipment status updates and proactively communicate delivery exceptions.\nSupport customer quotations and logistics cost enquiries where required.\nEscalate service issues and work collaboratively to identify corrective actions.\nEnsure customer requests are managed professionally and within agreed service levels.\nAdministrative Responsibilities\nMaintain accurate logistics records, reports and tracking information.\nProduce management information relating to shipments, inventory and service performance.\nAssist with logistics performance reporting and KPI production.\nCreate and maintain process documentation and work instructions.\nSupport audits and compliance reviews as required.\nContribute to continuous improvement initiatives across logistics and trade compliance activities.\nHealth, Safety, Quality & Environmental Responsibilities\nActively promote Health, Safety, Quality and Environmental standards.\nAdhere to all company policies, procedures and compliance requirements.\nReport hazards, incidents and non-conformances in a timely manner.\nRepresent Indigo professionally both internally and externally.\nAbout You\nSkills, Knowledge & Experience\nEssential\nPrevious experience within logistics, supply chain, export administration or freight operations.\nExperience preparing shipping and customs documentation.\nStrong organisational and administration skills with excellent attention to detail.\nAbility to manage multiple priorities and deadlines simultaneously.\nStrong communication skills with customers and suppliers.\nProficient in Microsoft Office applications including Excel, Outlook and Teams.\nAbility to work independently and use initiative to resolve problems.\nGood understanding of customer service principles.\nStrong written and spoken English.\nDesirable\nExperience in telecommunications, engineering or technical logistics environments.\nKnowledge of commodity codes, customs procedures, duties and taxes.\nExperience working with freight forwarders and customs brokers.\nFamiliarity with Export Control regulations and licensing requirements.\nExperience using ERP, WMS or transport management systems.\nUnderstanding of Importer of Record (IOR) and Exporter of Record (EOR) arrangements.\nKnowledge of inventory control and warehouse processes.\nAt Indigo, we believe our greatest strength is our people.
