This role is responsible for ensuring accurate, timely, and controlled processing of vendor invoices across multiple physician practices and management company entities while implementing scalable automation and internal control best practices.\nThe role requires strong operational accounting knowledge, hands-on experience with Coupa, and the ability to design and enforce structured approval workflows, 2-way and 3-way matching procedures, and accrual accuracy in a high-volume, multi-location environment.\n Procure-to-Pay Operations & Automation\nOwn and optimize the invoice-to-pay cycle across multiple legal entities and practice locations\nActive engagement in the configuration and implementation of Coupa and Coupa Pay\nAdminister Coupa (or similar platform) including invoice routing, payment methods and settlement through Coupa Pay\nImplement and enforce standardized invoice intake methods (EDI, OCR, vendor portal, email capture)\nDrive automation adoption and reduce manual invoice processing\nInvoice Matching & Controls\nDesign and maintain structured 2-way and 3-way matching processes\nSupport Procurement dept in mitigating improper PO usage (invoiced received no PO)\nMaintain approval matrix aligned to delegated authority levels\nIdentify duplicate payments, split invoices, and fraudulent billing risks\nSupport audit requirements and internal controls\nAccounting Accuracy & Accruals\nEnsure proper GL coding across practices, departments, and cost centers\nApply understanding of healthcare expense classification (clinical supplies, lab services, rent, provider costs, MSO fees, etc.)\nPartner with Accounting to ensure accurate monthly accruals and cutoff\nSupport month-end close including unreceived goods, GRNI, and open invoice analysis\nMaintain vendor W-9 compliance and support 1099 preparation\nEnsures the AP system is properly safeguarded and maintains the highest level of integrity across all master records (i.e., vendor accounts, invoices, credit memos, etc.).\nVendor & Payment Management\nManage vendor relationships and resolve escalations\nPartner with Treasury on payment runs, timing, and cash optimization\nImprove payment terms and reduce rush/exception payments\nMonitor aging, unapplied credits, and stale checks\nMonthly statement reconciliation to ensure all rebates, credits, discounts are properly recorded\nTeam Leadership\nSupervise and develop 2-3 AP Specialists\nEstablish productivity and accuracy KPIs\nTrain staff on invoice-to-pay workflow, coding standards, and healthcare nuances\nCreate SOPs and documentation for a scalable organization\nCross-Functional Partnership\nWork with Procurement to increase PO adoption\nSupport new practice integrations and acquisitions\nCollaborate with Finance leadership on spend visibility and reporting\nWork closely with Operations leaders to answer questions related to vendor invoices\n 7+ years Accounts Payable experience, including 3+ years in a supervisory role\nExperience in multi-entity or multi-location environment\nHands-on Coupa experience\nStrong knowledge of 2-way/3-way matching and approval workflows\nUnderstanding of accrual accounting and month-end close support\nExperience managing high-volume invoice processing\nAdvanced Excel skills\nHealthcare, physician practice management, or MSO
