This role is responsible for ensuring accuracy, completeness, and compliance across all AP transactions, while maintaining strong internal controls. This is a hands-on role focused on execution and quality-invoice entry, payment preparation, and Concur review-not invoice approval authority.\nKey responsibilities\nProcess high volumes of vendor invoices, ensuring accurate coding (entity, department, GL account), proper documentation and attachments, matching to purchase orders and receipts (where applicable), and correct vendor, amount, and due date\nVerify that required approvals are obtained and attached prior to processing (non-PO invoices must include documented approval)\nIdentify duplicates, incorrect billing, or unusual items and escalate as needed\nEnsure invoices are recorded in the correct accounting period\nPrepare and support execution of weekly payment runs (ACH, wire, and check)\nCoordinate payment timing based on cash needs and vendor terms\nMonitor and help maintain clean AP aging by resolving outstanding balances, credits, and discrepancies\nReview employee expense reports in Concur for policy compliance (receipts, business purpose, proper expense types), accurate coding and documentation, and duplicate transactions\nSet-up and maintain vendor records, ensuring W-9s, ACH details, and required documentation are complete\nRespond to vendor inquiries and resolve payment issues promptly\nAbout you\n3-5+ years of Accounts Payable or accounting experience\nStrong experience with high-volume invoice processing\nHands-on experience with ERP systems (Sage Intacct preferred)\nExperience with payment processing (ACH, wires, checks)\nExperience reviewing expense reports per travel policy (Concur or similar system)\nStrong attention to detail and accuracy\nAbility to manage deadlines in a fast-paced environment\nPreferred: Experience in a multi-entity environment\nPreferred: Familiarity with Concur (expense reporting), ConnectWise, or procurement systems\nPreferred: Understanding of AP controls, audit requirements, and 1099 processes\nWHY INTELASSIST?\nWe grow together.
